JOB DESCRIPTION:

Under the direction of the Associate Pastor for Pastoral Care and the Associate Pastor of Congregational Life, the Administrative Assistant for Pastoral Care is responsible for supporting the ministries of the pastoral care and congregational life office.

Essential Tasks

Pastoral Care Office Support

Administratively support the workflow of the pastoral care office by:

  • Maintaining an accurate and up-to-date pastoral care report to be utilized by the Associate Pastor for Pastoral Care during the weekly pastoral care meetings.
  • Ensuring accurate. timely, and effective internal and external communications relevant to the pastoral care office.
  • Attending weekly pastoral care meetings, taking accurate notes, and amending/updating the pastoral care report as necessary.
  • Providing primary logistical support for funerals including printing of bulletins, the placement of guest books, scheduling workorders for the facilities staff, and ordering markers for the memorial garden when necessary.
  • Fielding phone calls, emails, and in-person visits in a polite, friendly, and professional manner and, when necessary, directing individuals to the appropriate staff member or ministry area.
  • Helping to calendar and logistically pastoral care related events (fellowship gatherings, Stephen Ministry meetings, prayer shawl ministries, Care Council meetings/retreats, etc.)
  • Ordering and maintaining supplies for the pastoral care office, including office supplies and hospitality items.

Database Management

Working with the Chief Operating Officer, the Administrative Assistant will:

  • Manage the church database by keeping records up-to-date and accurate.
  • Manage the Planning Center App to make sure its records are up-to-date and accurate.
  • Input, delete, and change records upon request.
  • Provide member/visitor information to staff upon request.
  • Run searches for staff upon request.

Characteristics and Qualifications:

The Administrative Assistant to the Pastoral Care will possess qualities of warmth and kindness, professional communication, discretion, good judgment, maturity, time management, personal and professional responsibility, and efficiency. The candidate will have an understanding and respect for the work of church ministry.

Excellent written and verbal communication skills and strong database skills are required, as is proficiency in Microsoft Office programs (Word, Excel, Outlook.)

Diligent editing and proofreading skills are required.

Physical Qualifications
Possess sufficient mobility and stamina to fulfill the responsibilities outlined above.

Terms of Employment
Salary, benefits, and other terms of employment will be administered in accordance with the policies contained in the First Presbyterian Church of Atlanta Personnel Manual, a copy of which is provided to each employee.

Pay: $45,000.00 - $50,000.00 per year
