OCCUPATIONAL SUMMARY:

The Administrative Assistant will provide administrative and general office support and calendar management to the Executive Administrator (EA) of Ministry Affairs and Outreach (MAO) while acting in a supportive, confidential capacity. Provides backup administrative support to the Events\\Activities Manager.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Responsible for preparing the department’s weekly status reports and submitting same to the Executive Office.
  • Attend various meetings, take notes, and provide information to the EA and team members.
  • Provides proper processing and record keeping related to payroll and leave requests.
  • Ensures proper processing and record keeping for all items submitted for approval.
  • Flexible to work during and after normal business hours as required.
  • Provide general information and referral to telephone and\\or written inquiries.
  • Maintain EA’s calendar.
  • Communicates across ministry departments as needed.
  • Complete special projects as assigned.
  • Opens, sorts, and distributes office mail. Prepares all outgoing correspondence.
  • May receive and refer member concerns to EA.
  • Maintains comprehensive and accurate filing records.
  • Prepares, maintains, and develops reports, budgets, spreadsheets, accounting documents as required by the EA.
  • Maintains and takes minutes at all meetings attended by the EA.
  • Provides backup administrative support for Events\\Activities Manager.
  • Schedules appointments and maintains the director’s appointment calendar; arranges meetings, teleconferences, and videoconferences for the director.
  • Receives incoming calls, retrieves, and maintains records of voice mail messages and correspondences; makes outgoing and return calls, as directed
  • Greet and provide direction to incoming visitors.
  • Orders supplies.
  • Performs other duties as assigned.

SUPERVISORY DUTIES AND RESPONSIBILITIES:

  • None.

PROFESSIONAL DEVELOPMENT AND LEADERSHIP IF APPLICABLE
EDUCATION:

  • High school diploma or equivalent
  • Prefer business college courses but not required

EXPERIENCE:

  • Two (2) years clerical support of senior management

SKILLS/ABILITIES:

  • Computer skills (Microsoft Office software)
  • Strong knowledge of general office practices
  • Strong oral and writing skills
  • Ability to plan and organize
  • Good knowledge of general office practices and business English
  • Ability to deal effectively with the public
  • Ability to be a self-starter with minimal supervision
  • Flexibility a must
  • High level of confidentiality, telephone etiquette and accuracy required
  • Extremely strong/inter-personal skills
  • A gracious, Christ-like demeanor in demanding situations.

Job Type: Full-time

Pay: $35,568.00 per year
