JOB SUMMARY:
The Administrative Assistant will be experienced in handling a wide range of administrative support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a small office of diverse people and programs.
The ability to interact with staff, members, and guests (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality, are crucial to this role.
JOB RESPONSIBILITIES & DUTIES:
- Greet those who come into the office, answer their questions, provide requested assistance, or refer them to the proper staff person;
- Answer phones and direct all incoming calls to the appropriate party promptly and efficiently;
- Work with the administrative team to provide coverage for the Church Office.
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner;
- Use a computer operating system in the daily task of organizing and implementing church business. Assist in drafting and typing letters, reports, records, minutes, etc. as needed by the Staff(s) and church officials;
- Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary;
- Communicate and handle incoming and outgoing electronic communications on behalf of the Staff(s);
- Is responsible for calendar management, requiring interaction with both internal and external guests to coordinate meetings;
- Assist the Staff(s) with the preparation of presentation materials;
- Keep church records/minutes as assigned, including records required by the Book of Discipline and those requested by church committees, i.e., update the membership database and manual records;
- Send out meeting notices to ministry chairpersons as required;
- Assist the Staff(s) with all training and outreach programs;
- Provide administrative support to the following vision areas: 1) Care; Evangelism,
Family, Missions/Social Concerns, Prayer, Spiritual Formation, and Training.
- Order curriculum material and other supplies, as directed by the Staff(s);
- Design, proofread and print all funeral programs;
- Arrange travel schedule and reservations for clergy as needed;

- Maintain office equipment, the office environment, and arrange for repairs when necessary;
- Other duties as required.
EDUCATION & EXPERIENCE:
- Minimum education: Associate’s Degree (preferred) or equivalent experience of
3+ years;
- Excellent calendar management skills, including the coordination of meetings;
- Strong interpersonal skills with the ability to relate to all age groups and diverse personalities;
- Demonstrated excellent verbal and written communication skills;
- Knowledge of standard secretarial procedures and office management techniques; correct English grammar, punctuation, spelling, and proofreading; record keeping and filing systems; general finance and accounting principles; standard office equipment and software applications; principles of Internet research; and effective telephone techniques.
- Proven ability to effectively coordinate a variety of complex, technical, and administrative tasks;
- Proficient computer skills (ACS, Microsoft Office Suite, MS Publisher, Adobe
Illustrator, Photoshop, MAC and Windows operating systems, print production
- Neat and detail-orientated with strong organization skills.
ADDITIONAL RESPONSIBILITIES:
In addition to the above-referenced responsibilities and as required from time to time, there may be additional duties for which this position will be responsible, as assigned by the
Senior Pastor or staff team.
