The Executive Assistant (EA) to the Lead Pastor will be working in a fast-paced setting with the ability to be flexible in an evolving daily environment. The person in this role must be punctual, maintain global confidentiality, exhibit a high level of hospitality, exude executive presence, maintain high standards of professionalism and possess exceptional interpersonal and communication skills.

The EA to the Lead Pastor works directly for the Lead Pastor, but also works in collaboration with the greater team of EAs as well as the front office manager and Strategic Management Team (SMT). While this role covers all of the classic aspects of an EA, this role for Impact needs to be passionate about and support the vision and purpose of our church and the community we serve in order to be highly effective in this role. The EA comes alongside our Lead Pastor, assisting him in practical and administrative tasks as he focuses on the execution of the sacred vision of Impact Church. This role supports the Lead Pastor by taking leadership over such items as scheduling and calendar management, making travel arrangements aligned to the Lead Pastor’s preferences, prioritizing and responding to requests from Impactors, staff, and the community, inbox management, comprehensive and accurate record/file maintenance and preparing visually excellent internal and external documents. This role also supports the Lead Pastor with Sunday preparation and internal and external pastoral counseling scheduling, preparation, and execution.

Education, Experience, and Required Abilities & Skills:

  • Experience In Ministry

    • We are looking for someone who loves and is passionate about the local church and understands the unique challenges and opportunities that occur when working in ministry.

  • Experience working in an Executive Assistant role

    • Ideally, 3-5 years of experience

    • We are looking for someone who is detail-oriented with the ability to multitask successfully in order to support our Lead Pastor.

  • High school diploma or equivalent.

  • Must possess strong oral and written communication skills.

  • Detailed, collaborative, accountable, curious, excellent, willing to go the extra mile, focused, have integrity and exhibit Fruits of the Spirit (love, joy, peace, patience, kindness, goodness, faithfulness, gentleness, and self-control.)

  • Must possess the following skills: typing proficiency, organizational, strategic planning, excellent business level verbal and written communication, research, interpersonal/customer service, multitasking, critical thinking, business, writing, ability to work at a high level autonomously, and project management.

  • Must be dependable, compassionate, and hospitable and add to the positive culture at Impact.

  • Must be flexible in ever-changing daily workflow and schedule shifts.

    • Office hours are Monday to Thursday from 9 am to 5 pm; Fridays from 9 am to 5 pm.

    • Some Saturdays, Sundays, and evenings will be required.

  • A wide degree of creativity and latitude is expected.

  • Knowledge of Apple products (Mac computers/iPhone), GSuite (Gmail, etc.), and Zoom required

    • Ability to utilize Microsoft Office for Apple Mac computers and display proficiency with technology overall.

    • Helpful tools to know: Basecamp, DropBox, Organimi, Gusto, Breeze, Canva, Subsplash, Breeze, Photoshop, PowerPoint, Illustrator, PDF Pro 10.

Responsibilities Include

  • Calendar management and prioritization

  • Event planning and coordination

  • Inbox management and prioritization

  • Expense tracking

  • Meeting planning and coordination, and attendance in group meetings

  • Draft, review, and send communications on behalf of Lead Pastor

  • Coordinate travel arrangements

  • General research for strategic partnerships in the city

  • Exercise discretion, confidentiality, generosity of spirit, and professionalism in all dealings.

  • Responsible for typing, proofreading, and editing materials and data for completeness, comprehension, and accuracy.

  • Ability to prioritize projects/tasks.

  • Lead with innovation, including reviewing and recommending changes to processes, programs, and operations.

  • Responsible for a wide variety of time-sensitive information and material.

  • Manage routine mailings such as new visitors’ and viewers’ letters and donor newsletters.

  • Handle incoming and outgoing communication (calls, mail, bulk mail, and email).

  • Participate in Strategic Management Team meetings, Imprint small groups, and other meetings as applicable.

  • Assist clergy with preparation for special events: Sacraments and Christian Holidays.

  • Assist Lead Pastor and Leadership Team with meeting preparation at varying frequencies: coordination, presentations, and meeting material handouts.

  • Assist Lead Pastor with premarital counseling/wedding preparation and general counseling.

  • Assist Lead Pastor with ad hoc research tasks, including digital and phone outreach.

  • Prepare guests’ portfolios/welcome bags and ensure delivery in a timely fashion.

  • Some weekend and evening meetings/events will be required.

  • Show radical hospitality to all who set foot on the campus. Including but not limited to staff, volunteers, attendees, vendors, visitors, etc. Works hand in hand at varying frequencies with the front office administrative assistant.

  • Serve as an ambassador as needed on campus.

  • Other responsibilities and duties as needed and assigned.
