SUMMARY:

The Executive Assistant to the Pastor serves as the trusted assistant while providing high level administrative support to the Senior Pastor and the church. The Executive Assistant is expected to maintain complete confidentiality and serve as a caring assistant to interface with all members of the Zion MBC community. This position is responsible for supporting the Senior Pastor, managing the Senior Pastor’s office, and serving as the first point of contact for visitors and guests of the Senior Pastor and the church. This position requires a cheerful, pleasant, and caring Christ-like spirit. A good sense of humor and the ability to effectively work with a diversity of people is essential.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The Executive Assistant to the Pastor position’s primary responsibilities include but are not limited to the following:

  • Manage the Senior Pastor’s calendar for appointments, meetings, and travel.
  • Provide administrative support to the Senior Pastor (including correspondence, reports, files, etc.)
  • Provide back-up support for the Busines Administrator, Youth Minister, Christian Education Minister and other church staff as required.
  • Coordinate and organize daily office activities and operations and direct the workflow within the Senior Pastor’s office, as appropriate to minimize the demands on the Senior Pastor.
  • Provide support to the Senior Pastor in the work of assigned committees of the Church Council.
  • Provide support to the Senior Pastor in preparation of worship materials for weekly services and special events.
  • Provide hospitality support, arrange meals, accommodations, and logistics for meetings, events, guests, and programs hosted by the Senior Pastor.
  • Maintain the daily and long-term schedule of activities for the Pastor’s office, including calendar, travel schedule, accommodations and conferences, and provide back-up materials, special arrangements and transportation related to these activities.
  • Assist in preparation/publication of the church bulletin and newsletter to include formatting, spell-checking, proofreading, etc.
  • Assess and troubleshoot requests, evaluate resources for resolution, and recommend or initiate responsive action. Receive and respond to requests for speaking engagements, telephone inquiries and incoming mail.
  • Manage flow of information so that management receives all pertinent information and recommendations from different perspectives.
  • Sort and distribute incoming mail and other materials. Maintain paper and electronic files in a confidential manner.
  • Monitor and reconcile expenses directly related to the Pastor’s budget. Process invoices, expense reports, and other documents for payment.
  • Responsible for credit card: ensure transactions comply with the policies and reconcile monthly statement.
  • Ensure consistent customer service delivery in a collaborative and solutions-based capacity to all levels of staff and volunteers.
  • Provide support to the Senior Pastor in managing personal appointments and schedule.
  • Perform confidential tasks and special projects as needed.
  • Other duties as assigned by the Senior Pastor.

Qualifications:

The Executive Assistant to the Pastor position requires the following:

  • College degree in Business or related field desired but not required.
  • Five (5) to Seven (7) years’ experience in office administration and support of a key executive.
  • Work experience in a church or non-profit preferred.
  • Requires flexibility for occasional evening and weekend responsibilities.
  • Database and computer software systems experience a plus

Job Type: Full-time

Pay: $32,000.00 - $45,000.00 per year
