Job Summary
Performs a variety of administrative support work for the Human Resources department including the maintaining of the manual and electronic filing system of human resources documents; reviews and processes paperwork from the field regarding various status changes, transfers, terminations, new hires, rehires, etc. Assists with verification of employments; performs a variety of clerical support work including routine typing and photocopying of reoccurring correspondence, forms, lists, logs, records etc., coordinates interviews, answers the telephone and provides general information regarding the department operations and/or services; assists with processing of incoming and outgoing mail.

Resets passwords, inputs data, monitors and maintains some areas of the HRIS system such as Inside Employee/Outside Employee status in order for system capabilities to be fully utilized while ensuring accuracy and completeness of employee records; produces various reports as requested/required. Prepares, updates, and monitors personnel records; files documents alphabetically, numerically or by any other established filing system; maintains and utilizes a bring-up filing system; ensures the files are maintained in an organized and efficient manner; inputs data and generates various personnel reports and lists.

Receives, reviews, and processes miscellaneous requests for the Centers to be presented before the Finance Board for review and approval; may serve as liaison between the Finance Board and the Centers communicating requests for additional information and proposal status; consults with compensation, benefits, and HRIS as necessary to ensure all proposals meet compensation, benefits, and HRIS policies and guidelines; refers issues with paperwork to management.

Prepares, types, and processes human resources forms and documents; composes, prepares, types, photocopies, and files various correspondence in order to process human resources information; ensures the accuracy and completeness of the same. Maintains the confidentiality of all personnel and payroll records, and the confidentiality of personnel-related correspondence, conversations, or issues.

Performs routine typing of standard departmental documents with little or no deviation from established methods and procedures; proof-reads documents for accuracy and completeness before completing one project and going on to another project. Prepares, maintains, and updates office records, documents, logs, lists, files, etc.; inputs and updates information in computer database; researches office files to locate specific information found in documents, correspondence, lists, forms, computer records, etc.

Answers telephone in a courteous and tactful manner; assists employees and people from outside The Salvation Army; provides accurate and complete information regarding the department's operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner. Assists in the receiving, sorting, and distribution of mail in an accurate and timely manner and in ensuring that all mail received is forwarded to the appropriate person and/or destination and collecting and preparing outgoing mail.

Photocopies and/or gathers a variety of items for shredding including correspondence, forms, reports, and documents. Approves electronic job requisitions for posting; and setup accounting tests for candidates. Processes annual Motor Vehicles Report for employees and maintains required auto liability insurance coverages. Processes paperwork from the Centers of various employee status changes.

Prepares a variety of documents such as Post Retirement Service Agreements, Family and Medical Leave Act documents for review, etc. Prepares various reports and documents for Human Resources audits.

Knowledge, Skills and Abilities
Knowledge of the Ceridian HCM or ability to learn. Knowledge of Microsoft Office Suites. Ability to prepare and maintain personnel records in an accurate, complete, and timely manner. Ability to effectively and efficiently enter data into an electronic database system. Ability to work as a member of departmental team. Ability to follow both verbal and written instructions. Knowledge of general office practices and procedures. Ability to maintain the confidential nature of personnel related information. Ability to communicate effectively with all levels of staff. Ability to prepare payroll records and meet established deadlines.

Education and Experience
Associates degree in Business, Human Resources or related field, and two years’ experience working in a Human Resources environment.; or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities

Physical Requirements and Working Conditions
Ability to meet attendance requirements. Ability to read, write, and communicate the English language. Ability to keypunch information into a computer. Ability to operate various general office equipment including a computer photocopy machine facsimile and calculator. Ability to answer the telephone in a courteous and tactful manner. Ability to sort and file items alphabetically and numerically.

Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (usually less than 25 lbs.) 10%-20% of work time.
