Role Responsibilities:

  • Project Management
  • Meet regularly with Senior Pastor and Co-Chairs of Management Team to coordinate all business
  • Attend all meetings of the Management Team
  • Attend staff meetings as needed
  • Track and continuously make progress toward competing priorities across subject areas
  • Utilize project management software for project tracking
  • Follow up on Subject Area Groups (SAG) and planning consultants to ensure they are progressing according to schedule, aiding where necessary (or identifying where assistance can come from), ensuring they are on schedule, reviewing their responses, and getting clarity if needed.
  • Work with the Management Team and Redeemer's finance team to regularly track consultant invoices against project progress and approved budgets and reporting.
  • Meeting and Presentation Management
  • Manage short and long-term gathering and meeting schedules
  • Coordinate schedules of all Subject Area Group (SAG) meetings with the church calendar and staff to maximize participation
  • Oversee all aspects of meeting scheduling, documentation, and follow-up; to include, including finding a time that works for the attendees, sending invites, collecting and dissemination plan and pre-reads
  • Host meetings when not hosted by the consultants, both virtually and in-person, attending and capturing minutes when required, documenting follow-up items and designating the follow-up person, creating and running presentations, timely distribution of meeting minutes, and follow up on assigned action items.
  • Organize virtual meetings, including setup, scheduling, invitations, and hosting (Microsoft Teams or Zoom).
  • Organize In-person or hybrid meetings, including setup, scheduling, invitations, and hosting (Microsoft Teams or Zoom).
  • Coordinate meetings outside Redeemer, including dinners, tours of other facilities, etc.
  • Work with the Support Subject Area Group to promptly respond to all support requests.
  • Digital Communications and Documentation
  • Ensure timely and ongoing communication with all Subject Area Groups.
  • Retain and manage access to all documentation, presentations, and presentation assets.
  • Consolidate reports when needed.
  • Coordinate communications of master planning meetings and events with regular congregational communications.
  • Manage updates to the Redeemer and project websites for the entire Master Planning process.
  • Coordinate content for online use, including collecting, editing, getting final appro,vals, and posting every week. Solicit and organize content from Redeemer staff, the planning consultants, and other content providers. Reformat and publish information for multiple online channels and uses (social sites, email correspondence from the team, Pastor, council.) Coordinate with Redeemer social media.
  • Coordinate the production of project materials (in coordination with the planning consultants) that assist in communicating our plans to the congregation (virtual, physical) and marketing to partners/government/neighbors.
  • Manage the collection, production, and storage of all project-related materials, including technical information, minutes of meetings, financial information, communications, distributed communications, etc. This information should be stored securely, easily retrievable, and searchable. This will include physical items like models, artwork, etc.
  • Create documents from raw data. This can include financial, project tracking and scheduling, information, etc.
  • Volunteer Management
  • Manage volunteer registration and placement.
  • Ensure that all questions sent to the Management Team via email, phone,e, or conversation are answered promptly.
  • Respond to congregational questions and concerns with accurate information or by referring them to the appropriate people.

Required Technical Qualifications:

  • Microsoft365 (Word, Excel, PowerPoint, Outlook, Teams)
  • Zoom
  • Project Management Software experience, such as Trello, Asana, Microsoft Project

Preferred Technical Qualifications

  • PMP Certification (not required)
  • Procore Construction Project Management Software
  • Canva
  • Archival Research Experience

Role Competencies:

  • Strong coordinator, communicator, collaborator: ability to quickly form new relationships
  • Clear communicator in writing and speaking
  • Project Management and Communications experience - experience in handling multiple stakeholder interests and opinions
  • Demonstrated writing skills on websites and social media
  • Proficiency in online research and public record research
  • Familiarity and interest in archival research preferred
  • Demonstrated ability to manage presentation input and edits coming from multiple sources

Expectations:

  • All employees are employed “at will” as defined by Georgia state law.

Reports to: Senior Pastor with functional reporting also to Co-Chairs of the Facilities Management Committee. This position is the primary staff support to the Facilities Management Committee of the Controller Planning Process.

Compensation and Benefits:

  • This is a half-time position (20 hours per week) for a minimum of five months.
  • Cash salary: $60-80 per hour

Job Types: Part-time, Contract

Pay: $60.00 - $80.00 per hour
