Our Lady, Queen of Peace in Weymouth is currently looking for a full-time Administrative Assistant to join their team. The Administrative Assistant provides secretarial and clerical support for the Director of Faith Formation for the effective, orderly administration of the parish.

ESSENTIAL DUTIES & RESPONSIBILITIES:
Works cooperatively with Pastoral Team on a daily basis.
Ensures that families are greeted in a warm, welcoming manner and that clear and accurate messages are delivered to the FF Director.
Interacts in a positive, cooperative, and professional manner with staff, volunteers, parishioners.
Prepares materials, tracks attendance, and is present for all Faith Formation sessions.
Prepares program correspondence as needed, responding to phone calls and emails in a timely manner.
Sends reminders of meetings and events to all parents/students in a timely manner.
Maintains and updates the data system for Faith Formation programming, ensuring that family listings are accurate and other vital Faith Formation information is maintained.
Maintains a standard, accessible, and accurate filing system.
Inventories, orders, and stores Faith Formation materials and supplies.
Ensures FF offices are organized, ensuring all materials and supplies are accessible to the Director and catechists.
Prepares, records sacraments in proper ledgers, and stores sacramental records in safe place.
Convert sacramental information from ledgers to parish/FF database as soon as possible.
Prepares sacramental certificates as requested by the Pastor.
Other duties as assigned.

Qualifications:
Minimum of 5 years of demonstrated related experience.
Bachelor’s Degree or Associate’s Degree preferred.
Proficient Microsoft Office and other relevant software applications.
Excellent communication skills (oral, written, telephone and electronic).
Strong interpersonal skills and ability to develop positive working relationships with parish personnel.
Ability to project a positive, professional manner.
Detail oriented with good organizational skills and ability to multitask and effectively work in a changing environment.
Strong service orientation.
Must be willing to support the mission of the Roman Catholic Church.

Physical Performance Elements:
Ability to use a computer for up to 8 hours daily.
Ability to sit at desk for up to 8 hours daily.
Ability to lift up to 20 pounds.
