St. Mary Parish in Franklin is currently looking for a part-time Administrative Assistant/Secretary to join their team. The Administrative Assistant/Secretary provides secretarial and/or clerical support for the church and parish operations. The person is expected to have computer skills and be proficient in Microsoft Word and Excel. This position is a 30 hour a week, hourly paid position. The hours are either 9:00 a.m. - 3:00 p.m. Monday – Friday or 8:30 a.m. – 4:00 p.m. Monday – Thursday.
Responsibilities:
General Office Duties:
Answer the phone
Sort the mail
Greet visitors at the door and assist them
Order and sell Mass Cards and Spiritual Bouquets
Changing phone messages for telephone night service
Monitoring and ordering office supplies
Maintain the schedule for use of the parish facilities
Programing heat and cooling for church usage
Compile, print and distribute weekly schedule for priests and staff
Compile and print weekly schedule for parish meeting spaces
Compiling weekend Mass binders
Maintaining and updating parish database
Preparing bulletin
Preparing the bulletin and submitting it for printing
Printing special event programs
Sending the bulletin and information on parish events to our website company
General Sacramental Duties:
Booking Baptisms
Booking Masses
Booking weddings and coordinating paperwork for weddings
Record sacraments in computer database, books and cards
Fill requests for sacrament information
Making confirming calls for upcoming Masses, Baptisms and Baptism classes
General Funeral Duties
Scheduling funerals with funeral directors
Liaison between funeral directors and Bereavement Committee
Contact music director and arrange server for funerals
Create and print funeral programs
Compile Mass binder with readings and intentions
Send out letters for Remembrance Mass, print list and program
Ministry Scheduler Program
Creating schedule
Emailing completed schedule to ministry members
Mailing schedules to the few members who do not have email
Working with the ministry coordinators
Qualifications:
3 – 5 Years in a general office setting with administrative experiences
Well organized, able to multitask and effectively work in a changing environment
Experience handling confidential, sensitive, timely and critical matters using good judgment, tact, respect and discretion is required
Must be willing to support the mission and vision of the Roman Catholic Church and a Catholic in good standing
