Department: Office of the CIO, IT Operations Group SUMMARY

Manage the OCIO’s program to track IT assets through their lifecycle (from initial order to final retirement/destruction). Analyze trends in both IT hardware, software, and telecommunications usage to inform OCIO planning and strategy. Provide timely notification regarding assets needing replacement due to“end of life” status. Coordinate with the Treasurer's Office Procurement Group so that IT Operations orders are timely and accurate. Help enforce OCIO technology support, compliance, and security standards. Role combines extensive communication and team interaction skills (both onsite and offsite vendors) as well as “hands-on” technical ability managing inventory, procurement, and ticketing systems.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Establish and manage the IT Operations technology lifecycle program that maximizes the value of assets (computer hardware, peripherals, accessories, software, telecom devices) while also minimizing costs and risks. Work with IT Operations Manager to develop, document, and communicate policies and procedures that (75%):
  • Coordinate stream of Service Desk order requests with the Procurement Group in the Treasurer’s Office so that orders are timely and accurate.
  • Gather key input from stakeholders to validate the technical specifications for orders that go through the IT Operations Group ticketing system. Validation includes applicable technology, security, and support standards.
  • Coordinate receiving of above shipments with Real Estate Planning & Operations (loading dock staff) and Service Desk Hardware Technicians (inventory). Confirms receipt of what was ordered and its proper storage.
  • Maintain the IT Operations’ official inventory database of all technology managed by OCIO. Generate reports as needed for OCIO, OGC, Treasurer’s Office, internal and external auditors. Accountable for the accuracy of the database including its specifications and current owner/location/disposition.
  • Continuously identify assets nearing “end of life” status to the IT Operations Manager to ensure a plan is in place for their timely replacement. Coordinate with the Procurement Group to place internal IT Operations “bulk orders” in a timely manner.
  • Ensure proper retirement/disposal of assets at the end of their service life. Accountable that all compliance requirements are met (e.g. data sanitized, licenses recovered, etc.) and appropriate records maintained (e.g. destruction certificates).
  • Analyze trends in asset and service use. Work with IT Operations Manager to develop future forecasts used for departmental budgeting and planning (25%).
  • Review Internet Service Provider (ISP) and Telecommunications service agreements, usage metrics, and bills on a regular basis. Recommend service adjustments (up or down) to IT Operations Manager, Infrastructure Team, and Service desk as warranted to ensure adequate digital communications capacity.
  • Work with Service Desk to manage the annual “hardware refresh cycle” covering equipment assigned to workers. Assist IT Operations Manager with planning and budget projections.
  • Work with B&MPS to plan appropriate refresh cycles and budget projections for conference room equipment.

Education/Experience

JOB REQUIREMENTS

  • 5 years experience managing ordering / assets within IT environment
  • Bachelor’s degree preferred.
  • ITIL certification preferred.

Knowledge/Skills

  • Strong verbal communications Track record of successful direct interaction with customers, working collaboratively in teams, and effectively managing vendor partnerships. Comfortable providing performance feedback to vendors (meeting SLA’s), coaching, and conflict resolution.
  • Strong written communication History of authoring effective IT/service documentation as well as updating/maintaining it consistently. History of authoring effective management presentations and recommendations.
  • Strong analytical and problem-solving Demonstrated skill with data analysis, demand projection, and budget forecasting.
  • Strong curiosity and love for learning. Desire to regularly improve processes, achieve greater efficiencies, and adopt industry best practices in asset lifecycle management.

Technology Skills

  • Highly skilled with ticket systems, procurement systems, and inventory databases. Knowledge of Mobile Device Management (MDM) systems a plus

Work Environment

  • This position regularly works in an office environment. This position works in the Boston office with an opportunity for a hybrid work schedule.

Engagement with Christian Science

  • Membership in The Mother Church and class instruction preferred.
