ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Coordinate the scheduling of parish Confirmations in the Archdiocese and be the point of contact for all parishes and regional offices. Oversee all web-based forms received and communicate with the pastors and DREs to ensure accuracy and enable special requests.
  • Maintain a Confirmation spreadsheet and assist parishes with new requests for confirmations and ceremony changes during the year.
  • Manage, formulate, and track the granting of faculties of priests and deacons residing in/visiting the Archdiocese from other dioceses and religious orders, including frequent phone communication. Compile and distribute an in-house spreadsheet, and one for renewals.
  • Counsel international priests on the fundamentals: the granting of faculties, housing arrangements, and follow-up for priestly faculty expirations. Comprehend and validate immigration documents for them, including troubleshooting of documentation. Explain the intricacies of the Archdiocesan policy to pastors, parish staff, and visiting priests.
  • Create letters of suitability and celebrets for Archdiocesan priests and deacons traveling outside of the Archdiocese, often with short notice. Advise priests on the various documents available, including instruction on the use of a website for ministry requests. Coordinate with other departments for additional required information for particular dioceses.
  • Be the point of contact for the automated process requests for letters of suitability for the ecclesiastical province of Boston.
  • Prepare and maintain documentation for the Archbishop of Boston for seminarians entering ministries, diaconate, and presbyteral ordination. Create and document the official records of the ceremonies. Collaborate with the seminaries to coordinate the flow of information in a timely way.
  • Coordinate with parishes, dioceses, and couples concerning upcoming weddings.
  • Create inter-diocesan testimonial letters; create rescripts of permission and dispensation involving non-Catholics including a small database; and process marriage sanations.
  • Create death notifications for priests and priests’ relatives.
  • Field a variety of phone calls, including initial sensitive contact with those requesting deliverance ministry.
  • Review and edit the correspondence of the Assistant to the Moderator of the Curia for Canonical Affairs.
  • Engage in a minor amount of general administrative support.
  • Interact in a positive and professional manner with staff and visitors at the Pastoral Center.
  • Other duties as may be assigned.

  • QUALIFICATIONS:

  • Must be supportive of the mission and tenets of the Roman Catholic Church.
  • BS/BA degree required and/or a minimum of 5 years of previous business office experience.
  • Proficiency in Microsoft Outlook, Word, and Excel required.
  • Excellent oral and written English communication skills, including a clear speaking voice.
  • Attention to detail and customer service skills required, including ability to maintain professionalism both in person and by phone.
  • Well organized, able to multi-task and effectively work in a busy, changing environment.
  • Able to handle confidential and timely matters requiring good judgment and discretion.
  • Ability to communicate effectively through e-mail and/or telephone.
  • Strong service orientation.

PHYSICAL PERFORMANCE ELEMENTS:

  • Ability to use a computer keyboard for up to 8 hours/day.
  • Ability to sit for up to 8 hours/day.
