The Associate for Hospitality and Event Technology supports and enhances the work of the Hospitality Ministries and Event Services Team, in the successful delivery of hybrid, virtual and in-person events/meetings across the national ministies of the UCC including events/meetings at 1300 or off-site. The Associate will participate in the planning, coordination, and staffing of the technical components of major events in the life of the United Church of Christ, such as but not limited to the National Youth Event, General Synod, AM21, and United Church of Christ Board Meetings. The Associate will: 1) consult with internal partners to determine the technical needs for the event/meeting being planned; 2) research and recommend platforms for virtual and hybrid events/meetings. The Associate will also keep track of all technology platforms and contracts in the national setting. Full participation in team meetings is expected, with knowledge to propose new ideas to improve the planning and implementation process for upcoming events/meetings, and the role that hospitality serves in the national setting. As a member of the team, the Associate will assist in creating a culture of hospitality in the national setting of the United Church of Christ that is welcoming to staff and visitors while fostering cooperation and team building among the staff of the national setting.

 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

 

 

  • Provide technical leadership to the planning and coordination of major UCC events including, but not limited to elements of the National Youth Event, elements of General Synod, AM21, and the United Church of Christ Board meetings.
  • Recommend appropriate platform for use in meeting planning based on the needs identified by meeting host.
  • Implement and manage assigned projects for timely completion in ways that manifest cooperation and collaboration with internal and external partners, particularly projects that will utilize event hosting technology.
  • Provide instruction to hosts and attendees on how to use the platform or application chosen, including how to use various devices with the platform.
  • Troubleshoot the backend of the platform or application and internet issues.
  • Assist attendees in accessing and participating in the event/meeting platform.
  • Assist with building registration sites with the Cvent registration program; maintain familiarity with its functions and attend continuing education opportunities supplied by Cvent for maximum utilization.
  • Conduct an overall assessment of the various platforms, webinar delivery systems, and Zoom capabilities that the UCC has contracted with or uses with regularity and provide a summary of findings to the Associate General Minister, Wider Church Ministries, and the Director of Event Management.
  • Provide support for the populating and utilization of event apps such as Cvent’s Attendee Hub Event.
  • Provide on-site support for events/meetings as requested.
  • Prepare RFPs for Audio Visual, Internet/Wi-Fi, and additional equipment contracts as requested.
  • Work closely with venues to ensure that the internal network meets the needs of the event, leveraging event platforms, live streaming capabilities, and audience engagement.
  • Attend pre- and post-con meetings for all events/meetings being planned by the team.
  • Serve as the Exhibit Hall Coordinator for General Synod and the National Youth Event
  • Promote the positive public image of the United Church of Christ by responding in writing and orally on a timely basis to inquiries for information and serving as a resource.
  • Develop and maintain professional and courteous relationships with staff, directors, partners, and other constituents; serve as a positive role model by exemplifying values that are consistent with the United Church of Christ.
  • Other duties as assigned.
