Role Overview

Under the supervision of the Pastor of Discipleship and Executive Creative Director, the Admin/ Coordinator of Discipleship & Creative Arts Will Assist With Administrative Duties Related to Scheduling, Planning, and Organizing Ministry and Worship Activities, as Well as Coordinating Volunteers in Many Areas Within Both Discipleship and Creative Arts.

Accountability and Relationships

Reports To: Pastor of Discipleship & Executive Creative Director

Supervises: This Position Has No Direct Reports

Relates Closely With Lay Led Ministry Volunteers, Church Staff & Departments, Discipleship Teams & Volunteers, Worship Teams & Volunteers

Critical Team and Meeting Participation: All-Staff Meetings, Department Meetings, Chapel, and Other Meetings as Assigned.

Evaluation: Performance Evaluations Will Be Conducted at Least Annually by the Supervisor(s); As With All Job Descriptions, Details May Be Adjusted as Deemed Necessary Through the Evaluation Process

Essential Responsibilities and Duties

Discipleship 50%:

Coordinates With Communications Manager, Ensuring Church Wide Communication Is Executed
Check the Website Weekly and Update it as Needed
Coordinate With Facilities for Room Bookings and Facilities Support
Work With It and Production Manager to Ensure Av Tech Set Up Working in Rooms Booked for Discipleship Needs
Create Registration Forms in Ccb
Order and Set Up Food When Needed for Classes
Coordinate Scheduling Meetings as Requested and Prep/Distribute Meeting Agenda(s)
Take Minutes When Requested and Distribute
Update All Church Events Calendar Is Updated With Discipleship Events
Lay Led Ministries - Act as Staff Liaison for Lay Led Ministry Leaders
As Staff Liaison, Communicate Clear Protocols & Deadlines to Ensure the Success of Their Ministry & Thoroughly Execute Their Requests promptly
Coordinate Times/Locations for Meetings and Book Through Ccb
Ensure All Payments Requested by Lay Leaders Are Made promptly
Proactively Anticipate Ministry Needs (Know What They Will Need)
Weekly Printing (If Requested) For Lay Led Ministries
Follow-up With Those Who Show Interest in Volunteering at Perspective Ministries
Peak Discipleship (Plant, Equip, Align, Key)
Communication
With Congregants Expressing Interest in Participating
With Facilitators, Providing Weekly Information for Each Class
With Participants, Providing Weekly Reminders
Facilitators
Re-Enlist Previously Serving Facilitators for the Next Class
Coordinate Facilitator Training
Curriculum
Ensure Participants Have Access to All Curriculum
Ensure Curriculum Is up to Date / Current
Ccb
Maintain All Processes, Forms, and Tracking
Coordinate Inter-Departmental Initiatives & Follow-up up on Such

Creative Arts 50%:

Provides Administrative Support for the Director of Worship and Organist/Kids’ Choir Director.
Under Supervisor’s Direction, Schedules Paid and Volunteer Vocalists and Instrumentalists.
Coordinates Payment of Musicians Using Established Bac Finance Protocols, Including Collecting W-9s, Preparing Check Requests, and Coordinating With the Finance Team to Meet Their Processes and Deadlines.
Obtains Prior Approval and Sign-off From Supervisor for All Spending Within the Worship Arts Department. Does Not Spend From Other Department Budgets Without Prior Approval and Sign-off From the Head of Those Departments.
Ensures Timely Communication of Worship Orders to All Relevant Individuals, Using the Planning Center Tool.
Provides All Lyrics in Advance to Tech Team for Pro Presenter Input.
Responsible for Ccb and Planning Center Databases of All Prospective and Active Musicians.
Responsible for Maintaining Working Knowledge of Ccb and Effectively Using It for the Coordination of Worship Arts Groups and Events.
Oversees the Maintenance of a Clean, Organized, Highly Functional Music Rehearsal Room.
Produces and Distributes Weekly Packets for Worship Choir and Other Musicians as Needed.
Oversees the Music Library, Including Purchasing, Processing, Filing, and Distribution of Sheet Music.
Recruits, Trains, and Oversees Volunteers for the Maintenance of the Music Library.
Serves as Recording Secretary in Cue-To-Cue and Long-Range Sunday Planning Meetings.
Coordinates With the Communications Department, the Tech Team, and All Other Staff, Contractors, and Vendors Involved to Assure All Details Have Been Attended to for the Production of Weekly Worship Services.
Other Administrative Duties as Assigned.

Position Requirements

Education and Experience: High School Diploma or Ged Required, Associate Degree Preferred; Musical Training Preferred; A Minimum of Two Years of Experience in Administrative Support; A Minimum of Two Years of Experience Using Relationship Management Systems and Related Tools

Computer Skills:

Demonstrates Strong Computer Literacy, With Emphasis on Microsoft Office 365 Applications, Including Excel, Outlook, Word, and MS Teams
Experience Using Relationship Management Systems
Ability to Learn, Understand and Effectively Use Church Community Builder (Ccb), Planning Center, and Other Tools to Accomplish Departmental Goals
Ability to Learn New Skills/Software/Systems as Necessary to the Position
Ability to Operate Standard Office Equipment, Including Copiers, Fax Machines, and Similar

Communication Skills: Ability to Effectively Communicate in English, Both Verbally and in Writing, With Staff and Others on Our Campus

Reasoning Ability: Ability to Handle Problems Creatively and Efficiently, Using Sound Judgement

Physical Demands and Work Environment

This Job Operates Primarily in an Office Setting. The Position Will Interact Regularly With Others in Offices, Classrooms, Meeting Spaces, and Outdoor Areas of the Church Campus.

While Performing the Duties of This Job, The Employee Is Regularly Required to Sit, Stand, Walk, Bend, and Talk or Hear, and have the Ability to Lift and Move Items up to 15 Lbs. This Position Requires the Ability to See, and to Speak and Hear, Including on Telephones and Walkies. This Employee Will Routinely Be Required to Use Standard Office Equipment.
