Church Operations Coordinator
Reports to: Pastor, Church Council
Hours: Part-time 18-20 hours per week
Location: Onsite

About the position: The Operations Coordinator provides administrative leadership to Bethel Encino Church and Preschool. This includes fiscal oversight, facility management, lease and renter relations, volunteer coordination, ministry assistance, and website management.
Primary Responsibilities:
- Manage, update, and maintain files – both hard copies and electronic
- Manage and sort incoming mail and emails
- Securely maintain and manage login and passwords for all accounts
- Work closely with Bookkeeper on all matters pertaining to Finance
- Oversee all bank transfers between accounts
- Report account balances weekly to Executive Council, Pastor, and Bookkeeper.
- Review and submit payroll for church staff for approval
- Deposit checks as needed
- Maintain bill pay schedules and issue payments and checks to paid volunteers including musicians
- Order office and worship supplies as needed including special events and holidays; Maintain office equipment as needed
- Provide support to church with planning and implementation of special events
- Send weekly newsletters; communicate updates to church members as needed
- Prepare slides for Sunday worship
- Organize and maintain membership roster and database with council leaders and lead Pastor
- Assist in coordinating worship planning with pastoral staff and worship team, including prayers, readings, and music
- Manage prayer requests
- Maintain a list of keyholders. Assign and retrieve keys to personnel as needed. Communicate with facility manager any issues with keys or entry.
- Assist communications team in creating creating messages across media platforms (Zoom, Facebook, Instagram, website, etc.)
- Maintain/update church calendar
- Co-host Zoom worship on Sundays and act as a back-up to main host if needed
- Host Zoom meetings for Worship which includes but is not limited to; Grief Class, Bible Study, and other times as needed
Job Requirements:
- At least 3 years of operations support experience with 1 year in non-profit industry
- Proficiency in MS Word, Excel, Google Suite, the Internet; Technology-savvy
- Strong communication skills, both oral and written
- Ability to lead on tasks
- Ability to multi-task, prioritize
- Possess a keen eye for detail and accuracy
- Must be highly organized
- An optimistic and team-player attitude
- Must be reliable and dependable
- Strong work ethic
