Reports to: Director of Philanthropy

POSITION OVERVIEW
The Database Analyst is part of the Notre Dame High School Philanthropy Team and serves as the key technical resource providing oversight, reporting, and technical training for the Raiser’s Edge NXT donor database. This role requires understanding of data systems, donation, financial, and event management software and is critical to maximizing the efficiency, effectiveness and revenue goals of the fundraising and stewardship efforts of the school. There are five primary areas of responsibility:

Database management & data integrity
Gifts processing, including gift entry and acknowledgement
Prospect management and fundraiser portfolio management
Donor relations and stewardship
Administrative support for outreach, events, and giving initiatives

RESPONSIBILITIES:
Database management & data integrity (30%)

Input and maintain accurate constituent information with the goal of maximizing the efficiency of the CRM with established data entry guidelines and best practices.
Perform regular data hygiene tasks in order to maintain database integrity including data cleaning, appeal codes, attribute coding, campaign updates, solicitor updates, opportunities tracking, updating relationships, managing opt-outs, identifying and resolving duplicate accounts, monitoring data accuracy and completeness, etc.
Ability to pull complex queries, reports, and provide data analysis, reporting and pulling of lists for direct mail campaigns/appeals, list segmentation, special events, other collateral or communications mailings as assigned.
Create and distribute progress and analysis reports that help inform strategies to increase donor loyalty, donor relations, revenue and tracking fundraising results.
Analyze and report data of donor acquisition rates, renewal rates, donation frequency, and giving channels, etc.
Works in partnership with the Business Office to ensure all donation information, gift reports, endowment fund accounting, annual audits, and financial reconciliation are consolidated properly and accurately.
Manage the import/export and integration of data from multiple databases including OneCause and/or other related systems.

Gifts Processing & acknowledgment (20%)

Serves as the primary gift processor, manually entering and/or batch uploading data on a daily basis, including but not limited to: donor names, addresses, phone numbers, pledges and payments, and donations from multiple sources including checks, matching gift portals, and online giving.
Generates all acknowledgement letters and receipts daily, including tracking and generating pledge reminders and pledge reports to senior management.
Coordinates tracking and processing of donations and in-kind donations, ensuring IRS compliance

Prospect Management & fundraiser portfolio management (20%)
Support and assist the Philanthropy office with donor and prospect research including the development of donor/prospect research profiles and donor briefings.
Use data and leverage publicly available resources and capacity/wealth ratings to synthesize data into reports that drive strategic planning for the Philanthropy Team to help engage board members, alumni, major donors, and donor prospects in various stages of identification, cultivation, and solicitation.
Help develop and promote moves management processes and assist Philanthropy team members with the maintenance of their major gift portfolios, including action audits, opportunities/solicitation tracking, and reporting on fundraiser performance goals.
Provides all necessary training and materials needed by the Philanthropy Team and senior leadership to utilize Blackbaud effectively and efficiently.

Donor Relations & stewardship (20%)
Manage and coordinate various stewardship activities for the Philanthropy office, including endowment reporting process and serving as liaison with Business Office for endowment balance information, etc.
Accurately prepare donor records and donation information for publication on the school website, year-end annual report, and other school publications that require fundraising information and totals.
Comfortable interacting with donors and various constituencies (parents, staff, faculty, alumni, etc.)
Help to coordinate stewardship/thank you events and communications throughout the year.

Administrative support for outreach, events, and giving initiatives (10%)
Work with the Philanthropy Office to process payments and donations for events and acknowledge/steward donors following events in a timely manner.
Assist Philanthropy Office at events utilizing events software to manage tickets and/or online auction programs.
Assist Philanthropy Office with annual fund appeals, events, and/or stewardship activities.

Requirements

Qualifications, Education, and/or Experience
Bachelor’s degree
At least 3+ years of Donor Database Management experience or 3+ years of Raiser’s Edge CRM or accounting software experience.
Skills and/or Abilities
Strong knowledge of prospect research techniques and resources, and data analytics.
Demonstrated proficiency with multiple technologies including understanding databases, exporting data, and mail merges.
Demonstrates independent judgement and sound project management skills, including the ability to independently produce, organize and manage multiple projects to meet required deadlines.
Utilizes and maintains up-to-date knowledge of the philosophy, intersection, and best practices between fundraising, stewardship, and data analytics.
Strong knowledge and capabilities in Microsoft Office Suite particularly Excel as well as experience and expertise in database management and knowledge of Blackbaud and/or Raiser’s Edge NXT.
Demonstrated skill in research and data analysis to prepare concise reports and gift summaries.
Produces complete and accurate spreadsheets, correspondence, and reports in a timely manner, prioritizing work to effectively balance multiple assignments with minimal supervision and demonstrate commitment to donor service.

Comfortable in supporting the Catholic, Holy Cross mission of Notre Dame High School.
Ability to maintain confidentiality and use discretion when handling sensitive or confidential information.
Excellent verbal, written, and interpersonal communication skills.
Flexibility to work occasional evenings and weekends as required for special events.
Successful completion and passing of a background check including clean driving record and criminal history is required.
All adults working in a school environment within the Archdiocese of Los Angeles must be fingerprinted and VIRTUS certified.
