Description
The Executive Assistant to the Head of School is an integral part of the Head of School’s office who supports the Head’s leadership role and provides a full range of administrative and operational tasks to maintain an effective and well-organized office and an informed and high-functioning Board of Regents. The Executive Assistant is trustworthy, accessible, approachable, and responsive, managing confidential situations with discretion, respect, and sensitivity.

Major Responsibilities
1. Embody and communicate the school’s mission, vision, values, and promise, ensuring that the Head of School and Providence are represented in a professional, hospitable, and responsive manner.
2. Manage and support the Head’s daily responsibilities, short and long-term goals, and institutional projects.
3. Maintain the daily schedule for the Head of School and coordinate calls, meetings, conferences and travel arrangements.
4. Manage communication with the Board of Regents and standing committees with regards to Board/committee meetings, agendas, minutes, reports, and presentations.
5. Represent the Head of School’s best interests and perspective in interactions and meetings with regents, faculty, staff, parents, students, and visitors and assist by advancing discussions and issues, paving the way for appropriate action by the Head of School.

Requirements

Qualifications

  • Bachelor’s Degree or equivalent knowledge and experience
  • 3-5+ years of experience performing similar responsibilities, preferably in a fast-paced school environment
  • Excellent work ethic, calm demeanor, and trustworthiness
  • Exceptional interpersonal, organizational, communication and presentation skills required
  • Ability to exercise discretion and good judgment with sensitive matters and information
  • Ability to remain calm and flexible in high pressure situations
  • Excellent organizational skills and attention to detail
  • Demonstrated experience with project management
  • Ability to take initiative, think critically, and proactively solve problems
  • Ability to work collaboratively and effectively with various constituencies of the community
  • High level of proficiency with Microsoft 365 and other software for managing and preparing calendars, spreadsheets, presentations, etc.
  • Experience working with Boards and senior executives highly desired
