POSITION DESCRIPTION

Under the supervision of the Cathedral Director of Liturgy and Music, the Secretary of the Liturgy Department provides clerical support for the Liturgy and Music Teams, coordinates the Baptism Program, sacramental records, and meetings. Assists in record keeping, scheduling of ministers, and filing for both the liturgy and music offices. Assist with Spanish translation for documents, as well as in person or on the phone.

GENERAL DUTIES AND RESPONSIBILITIES

Job duties include, but are not limited to

Provides clerical support for the Cathedral Liturgy and Music Departments
Answers phone calls, keeps records of calls, maintains calendar for Director of Liturgy and Music
Oversees and maintains English and Spanish Baptismal Programs, records, schedules and meetings
Maintains Sacramental Register (book and electronic version)
Maintains records and information for RCIA/RICA programs and Sacramental Programs
Works with Assistant Director of Liturgy to maintain schedule of liturgical ministers, coordinates mailing and distribution of the schedules
Works with Volunteer Coordinator to keep liturgical minister database updated and current
Maintains files for both Liturgy and Music offices
Attends regular staff meetings and Liturgy and Music department meetings
Miscellaneous duties as assigned
Requirements

QUALIFICATIONS

Knowledge of Catholic faith, rituals and traditions
Prior parish experience preferred
Strong verbal and written communication skills – bilingual English/Spanish required
Detail-oriented, with the ability to work efficiently and meet deadlines, work harmoniously and cooperatively with other staff
Well-organized, flexible and able to manage different projects concurrently and often under pressure; able to set priorities and manage time effectively in a team environment
Computer, database, report generation skills
Flexibility regarding work schedule
Must successfully pass the required background check and all requirements of the Archdiocesan Program for Child and Youth Protection prior to employment and maintain a satisfactory background check throughout employment.
