Essential Functions:
Because All Archdiocesan Employees Represent the Roman Catholic Church, the Are Expected to Conduct Themselves According to the Goals and Mission of the Church in Performing Their Work.
Handles In-House Cancellations and Prepares Check Requests for Refunds Due to Patrons.
Matches Payments (With No Coupon Attached) To Appropriate Accounts.
Generates and Distributes Reports
Checks Statements With Balances of Less Than $5 and Adjusts Accounts as Required.
Assist Patrons With Patron Claims.
Prepares and Processes Corrections for Patrons for a Variety of Documents Including Contracts, Invoices, Receipts, and Other Forms.
Acts as a Liaison Between the Patron and Catholic Cemeteries.
Resolves Patron Requests for Adjustments on Billings.
Directs Callers to Appropriate Persons Regarding Specific Information on Services Available.
Coordinates With Other Departments and Appropriate Cemetery Staff to Resolve Problems.
Receives and Answers Within Established Guidelines, Patron Questions and Complaints on the Telephone and in Writing.
Refers to Senior Patron Services Representative or Supervisor on All Non-routine or Serious Problems.
Maintains Related Records and Prepares Required Reports.
Operates Various Office Equipment Including Computers Terminal, Typewriter, Calculator, Copier and Fax Machine.
Performs Typing/Word-Processing Assignments, Filing and Related Clerical Duties.
Prepares Computer Input Regarding Status/Changes in Accounts/Contracts.
Opens and Sorts Mail.
Call Patrons Regarding Their Past Due Accounts of Credit Card Declines.
Performs Other Duties as Assigned.
Minimum Qualifications
Education and Experience
Any Combination of Experience and Education Likely to Provide the Required Knowledge, Skills, and Abilities, Typically:
Training in Public Relations, Basic Clerical Skills, Business Methods and Basic Computer Skills.
High School Diploma or Equivalent.
1 Year of Office Related Experience Including Public Contacts.
2 Years of Office Related Experience for Patron Service Representative.
Bilingual Skills in English/Spanish Required.
Knowledge, Skills, and Abilities
Knowledge Of:
Modern Office Methods and Procedures.
Basic Customer Service Methods and Procedures.
Basic Math Computations.
Catholic Cemeteries Policies and Procedures.
Skills In:
Interpersonal Skills Including Tact, Patience, and Diplomacy.
Communicate Effectively in Written and Oral Form in English and Spanish
Communicate Effectively in Spanish Desirable.
Ability To:
Provide Specialized Information and Assistance to Others.
Perform Administrative Support Duties.
Automated (Computerized) Accounting Methods, Forms, and Procedures.
Operating a Computer Terminal.
Demonstrate Sound Judgment When Responding to Complaints From Patrons.
Maintain Accurate Records and Prepare Reports
Organize Multiple Projects/Complaints and Follow Through Within a Reasonable Time Period.
Develop and Maintain Effective Working Relationships.
Physical and Environmental Requirements
Position Involves Sitting, Standing And/or Walking.
Requires Ability to Frequently Lift or Move Objects up to 30 Pounds.
Physical Agility Required Moving Downward And/or Forward by Bending Legs and Spine.
Physical Ability to Sustain Movements Especially of the Fingers, Wrists, Hands or Arms.
Ability to Express or Exchange Information by Means of the Written and Spoken Word.
Filing and Retrieving Documents From 4 Drawers’ Cabinets 5 Feet High. Must Reach Above Shoulder for 2 Drawers or Crouch to Reach Lower Drawers.
