POSITION SUMMARY

The Office for Vocations is responsible for a wide range of tasks related to the promotion of vocations, the accompaniment of men in discernment and the support of our seminarians. The coordinator/director of special projects will be responsible for administering and coordinating the various vocation promotion events and discernment activities for the Archdiocese of Los Angeles. The ideal candidate will be flexible, multi-tasking, engaging and supportive.

ESSENTIAL FUNCTIONS

Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the mission of the Church when conducting their work. This position requires the candidate to have good knowledge of the Archdiocese of Los Angeles and a love for the Roman Catholic priesthood.

  • Effectively utilize Social Media (Instagram, Facebook, Twitter, and YouTube) and other apps to promote vocations and events.
  • Design and maintenance of E-Catholic website/webpage.
  • Communicate and compose documents, promotional materials, and correspondence in English and Spanish Bilingual Skills.
  • Interact with all types of individuals including but not limited to members of the clergy and religious, school principals, teachers, and staff, DREs, confirmation directors and youth ministers, young adult coordinators, vendors, and those working with and for the Archdiocese in a professional manner.
  • Administer and coordinate the planning of small and large special projects throughout the year with Director or Associate Director.

  • Administer and manage communications via email, telephone, and social media in relation to projects with main contacts of venues, participants, vendors, etc.
  • Assist in managing events budget, maintaining financial records- income and expense for projects.
  • Oversee, create, and distribute promotional materials related to projects for printing and social media
  • Coordinate appointments and calendaring of vocation events
  • Assist in any event sponsored by the Office
  • Other duties as assigned

MINIMUM QUALIFICIATIONS

Education and Experience

Any combination of education and experience likely to provide the required knowledge, skills, and abilities, typically:

  • Active member of a Roman Catholic faith community.
  • 1 year experience in successful Event Planning.
  • Experience in Public Relations, and Public Speaking.
  • Experience in Marketing and Promotions.

Knowledge, Skills, and Abilities

Knowledge of:

  • Working knowledge of Microsoft Products: Outlook, Word, Excel, Power Point, Access.
  • Utilizing internet for research, marketing, and promotions.
  • The mission and organizational structure of the Catholic Church.
  • The Church’s teaching regarding the ministerial priesthood.
  • English and Spanish usage, grammar, spelling, and punctuation.
  • Simple bookkeeping and record keeping methods and procedures.
  • E-Catholic Web System.
  • Basic workings of social media platforms in use by the office.

Skills in:

  • Strong written and oral communication skills in both English and Spanish.
  • Excellent organizational and time management skills.
  • Typing speed sufficient to meet production requirements (minimum of 45 wpm).
  • Public contact and public speaking.
  • Record Keeping.
  • Attention to detail and follow-through skills.
  • Ability to prioritize, manage and execute multiple projects and work under pressure.
  • Short-range and long-range organizational planning.
  • Problem-solving.

Ability to:

  • Maintain cooperative professional relationships with callers, peers, supervisors, while projecting a professional image through in-person and telephone interaction.
  • Engage others, be outgoing, approachable, friendly, and helpful.
  • Function as part of a team and work within a group setting.
  • Work independently with minimal supervision.

Physical and Environmental Requirements:

  • Occasionally lift up to 20 pounds.
  • Sit for sustained periods of time on a daily basis.
  • Stand for prolonged periods of time
  • Perform tasks requiring intermittent walking, bending, stooping, twisting, reaching above, at or below shoulder level, pushing, pulling, grasping.
  • Exposure to office or indoor noise and temperature levels.
  • Exposure to outdoor event noise and temperature levels
