Job Summary: We are looking for an Events Coordinator to book client-facing events such as receptions, concerts, film shoots, galas, meetings, etc., and assist with internal church events. Additionally, the coordinator has administrative duties related to the smooth running of the Rentals Department. Successful candidate must be self-motivated, and enjoy managing his/her/their own projects. This is a customer service role that includes booking space and managing that process. This role does not manage food and beverage for events.

Essential Job Responsibilities:
Respond to incoming rental requests.
Responsible for onsite-visits (taking clients through our event spaces).
On site coordinator for events (some weekend and after hours work required)
Work with our internal teams (Grounds, Security, Tech, Internal departments) regarding set-up and logistics.
Communicate availability, space, pricing and audio-visual capabilities, etc., to client
Create/revise room layouts for events
Prepare contracts and manage invoice process to ensure accurate and timely billing
Service as liaison with vendors
Ensure that the Church’s needs are met and that events are well coordinated
Ensure compliance with Rental Department and church guidelines
Determine and execute appropriate responses to challenges during events and promote a good experience.
Provide support for the Events Manager
Ensure that deliverables such as proof of insurance, permits and payments are received, routed, and tracked
Master and utilize our events management database and ensure accuracy of information and help determine optimal prioritization of events calendar.
Participate and assist with production/operations meetings.
Other administrative and special projects as needed.

Experience and Education Requirements

Bachelor’s degree required, emphasis on event management or meeting planning preferred.
Some customer service, events or venue management experience
Willing to work outside standard business hours, including working on-site during events.
Not for profit venue and sales experience is a plus.
