ESSENTIAL DUTIES AND RESPONSIBILITIES: (include, but are not limited to, the following)

  • Performs Mail Center responsibilities for sorting, processing and distribution for all US mail, overnight shipments, packages, parcels and by hand distributions.
  • Ensures that all packages are entered and acknowledged on equipment and systems.
  • Reports any shipments which appear damaged or suspicious to Supervisor or Manager.
  • Performs inter-office mail deliveries and business related package deliveries while performing scheduled daily mail sweeps of all floors conforming to mail distribution work flow and guidelines. This includes keeping mail cart folders updated and updating floor plans as needed.
  • Performs daily monitoring of all convenience copier equipment, paper supply replenishment and organization of convenience copier stations.
  • Performs Meeting Room Set-ups, maintains meeting room supplies and furniture inventory in storage locations.
  • Assists with all Mail Center activities ex: scan, copy, print and binding activities.
  • Inventory control and replenishment for frequently used printed materials and equipment and supplies. Assists in accessing USPS and Courier shipping options and costs for users.
  • Assists with employee moves.
  • Assists with special or custom packaging for sensitive material shipments.
  • Documents, maintains and reports issues related to mail and copier equipment and to supervisor and places service calls through contracted vendors.
  • Accompany service providers during on-site visits, ex; Iron Mountain, Plant Maintenance and office equipment service providers.
  • Assist users and trouble shoot office equipment and conduct searches on systems and courier tracking web sites

  • Excellent communication, organizational and interpersonal skills
  • Beginner to intermediate skills with Microsoft Outlook, Excel, and familiarity with courier tracking websites and Pitney Bowes.
  • Ability to operate and assist users on Mail, Copier and Fax equipment
  • Ability to work independently within established procedures and policies.
  • Proficient knowledge and operation of PB high volume mail equipment, and tracking systems.
  • Advanced knowledge of USPS mailing and shipping requirements, and special services supporting domestic and international services. Including overnight courier shipping requirements including ll vendors (i.e., largest size of package that UPS will accept, standard insurance provided by carrier, which carrier delivers to P.O. boxes, etc.).

 


EDUCATION and/or EXPERIENCE:

  • High School Diploma or equivalent required
  • 1+ years of related experience in mailroom services required

  • Must be able to lift, at minimum, 50 lbs. weight on a regular basis
  • Repetitive use of computer keyboard
  • Operation of a variety of standard office equipment requiring continuous or repetitive arm-hand-eye movements
  • Must be available before and after normal office hours as needed.
