Job Summary:
The Mailroom Associate will report to the Mailroom Manager and assist in the daily operation of the Mailroom and Reproduction Center. The Mailroom Associate will perform a variety of technical and support services involving printing and reproduction. Preparing incoming mail for distribution and delivery within the building, collect and process outgoing mail. Maintain all office equipment daily. Candidates must be customer service oriented, highly motivated, flexible, work well under pressure, a multi-tasker, a strong communicator, and a team player.
Essential Job Responsibilities:
- Operate mail service equipment; postage, complex inserts, sorters, bar codes, and copiers
- Assist in execution of mass mailings and other large projects
- Maintain, clean, and adjust machines daily, including equipment ink system, moisture systems, pressures, paper paths, etc.
- Sort, distribute and collect US mail, USPS, UPS and FedEx
- Keep the mailroom organized by properly arranging the mail bundles and packages received in the office, while tracking all mail and packages received by properly logging information into computer system.
- Inventory mailing supplies and order necessary materials, including paper, toner, and other printing supplies.
- Responsible for the completion of the weekly Sunday bulletins and flyers.
- Capable of operating a variety of office equipment, including professional photocopy machines, paper cutting, and folding machines.
- Inspects printed jobs to ensure all specifications, quality standards, and quantity requirements are met.
- Coordinates and prioritizes work schedule to ensure timely and effective completion of typesetting and printing.
- Knowledge of different types of paper, weight, and cost preferred.
- Scan documents and print as directed.
- Perform other duties as assigned.

- Should be familiar with Microsoft Windows and Office. Adobe Creative Suite knowledge preferred.
- Must be able to lift 40 lbs. and climb stairs.
 
Experience and Education Requirements:
- High school diploma required.
- Minimum 3 years mailroom and photocopy equipment experience.
- Self-Motivated: Should be well-organized and able to prioritize, multi-task, and adhere to deadlines. Be able to work efficiently and independently.
- Strong Written and Verbal Communication Skills: Ability to speak and give information in a way that can be easily understood by employees, customers, and suppliers. Should obtain a clear understanding of what is required for each task or project.
- Flexibility – Adjust positively to changes and assignments given.
- Team player - Cooperate well with a variety of personalities and individuals, and participate in a professional manner to accomplish tasks.
