Primary Purpose:
Church World Service is seeking a Senior Administrative Assistant that is highly organized, accurate, an effective communicator, and detail-oriented provide support for administrative tasks related to our Northeast Regional team. This role will report to the Associate Director and will work closely with all members of the team.
Duties/Responsibilities:
- Provide administrative support for Northeast Regional leadership team, including but not limited to logistics for events, meetings, and travel
- Manage related communication regarding meetings and events for Regional Director
- Research and prepare data/ briefing documents for reports, presentations, meetings, and events
- Monitor, screen, respond to, and distribute incoming communications
- Maintain shared calendars and organize team meetings
- Assist some local offices and programs with external communications, which includes formatting outreach documents and posting announcements on social media sites.
- Communicate CWS administrative policy to local teams.
- Support document collection and organization for local funders so they are easily accessible by local and regional management
- Provide training and access to policies and procedures for local and regional teams
- Coordinate electronic files and SharePoint site
- Review, file, and submit financial records, invoices, and billing files for processing
- Create a system for tracking and collecting related metrics and reporting.
- Assist with developing outreach materials in line with CWS branding guidelines.
- Support team growth by scheduling interviews, facilitating onboarding of new hires by securing technology and planning onboarding meetings
- Takes detailed records in meetings and events
- Prepares and edits documents
- Contributes to internal communication methods
- Supports new regional offices with limited administrative staff with communications until other staff are hired.
- Coordinates in-persons meetings, retreats and conferences
- Serves as a lead project coordinator on special projects
- Undertakes other duties as assigned
Qualifications:
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint). Familiarity with document formatting standards for professional communication.
- Ability to handle confidential and sensitive information
- Ability to quickly develop a working knowledge of organizational goals and programs
- Excellent verbal and written communication skills
- Great teammate who thrives in a fast-paced environment
- Flexible and adapts to change
- Strong collaboration, organizational, decision-making, and multi-tasking skills
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- High School Diploma (some higher education preferred)
- Minimum of 3 years of administrative experience required
- Familiarity with government and private funding processes preferred
- Background and credit check required
