SENIOR ADMINISTRATIVE ASSISTANT for CHRISTIAN MINISTRY ORGANIZATION

Congregational & Leadership Development and Global Outreach

Eligible for hybrid/remote work arrangement - combination of work from home and regular weekly onsite office.

Schedule between 8AM - 5PM

Pay is between $20 - $21.63 per hour depending on experience.

The ideal candidate for this role is motivated to use their gifts and talents for Kingdom work and enjoys doing and completing tasks paying close attention to the details, accuracy, and follow up while interacting with various people in various departments ensuring good communication, administrative support and scheduling as needed toward the fulfillment of the mission of Jewish Voice Ministries International.

JOB SUMMARY:

Perform and execute administrative duties to ensure project and task completion for Global Outreach and Congregation & Leadership Development departments including correspondence, record keeping, communications, follow up, and scheduling and for the department as directed. Provide admin, technology and partner relationship support to Prayer Program Supervisor, Outreach Engagement Manager and Grants Administrator. Works to maintain a high level of efficiency, accuracy and follow through on tasks ensuring proper confidentiality is maintained.

ESSENTIAL FUNCTIONS:

  • Works with Executive Assistant - CLD/GO to accomplish special department projects, events and admin tasks
  • Works with Prayer Program Supervisor and VP/CLD Exec. Asst. scheduling activities, people and tech support, manage meetings, volunteers
  • Work with Outreach Engagement Manager (GO) to complete admin tasks, coordinate meetings and coordinate communications
  • Serves as department liaison to other departments as it relates to the promotion of various events
  • Works with Grants Administrator to facilitate communication with OMS ministries
  • Manages the daily administrative functions of the departments (GO/CLD) including record keeping and taking minutes during meetings; organizes and implements filing systems and processes.
  • Manages and responds to correspondence in the “Outreach” and “Tours” email inboxes, maintaining a 48-hour response turnaround time
  • Recommends and implements process improvement (e.g. streamline, add automations, eliminate redundancies, reduce cost, number hand-offs between roles, etc.) and incorporate into SOP revisions.

JOB QUALIFICATIONS/REQUIREMENTS:

  • AA or higher degree from accredited college in communications studies, administrative, business management or other similar field; or a combination of college credits and on the job experience
  • Five or more years’ experience in an administrative support or office management role
  • Three or more years missional experience either in a church, mission agency or non-profit
  • One to two years of experience making travel arrangements strongly preferred
  • Intermediate to expert user with MS Office suite including MS Outlook, PPT, Excel and Word,
  • Knowledge of Office 365 products, including but not limited to Planner and OneDrive
  • Ability to interface with a wide variety of people in a pleasant, professional and courteous manner maintaining good working relationships with fellow employees as well as outside vendors and associates
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Strong communication and writing skills to effectively convey ideas and directives in a concise and positive style
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
  • Strong organization skills and the ability to multi-task in a confidential environment.
  • Ability to overcome obstacles with proven track record of creating innovative solutions
  • Strong Christian beliefs with a heart for Jewish missions, developing relationships and outreach.
  • Must be committed to the Mission of Jewish Voice at “Open” level moving toward “Advocate”

  • Proactive thinker capable of planning for anticipated events/projects as well as the unexpected.
  • Must be a self-starter able to coordinate resources and responsibilities
