Job Summary:
The Assistant Coordinator of Operations & Support will assist the Coordinator of Operations and Support in the day-to-day operations of the Church's facilities and finances, advancing all ministry-related outcomes that lead toward accomplishing the Church's mission and values. After several months, the individual hired will be trained to take over the Coordinator of Operations & Support role.
Reports to: Lead Pastor, Coordinator of Operations & Support
Essential Functions:
- Greets visitors to the church office, assisting as possible.
- Answers telephone cordially, giving as much assistance as possible.
- Checks email and voicemail, providing assistance as possible or forwarding the message to the appropriate party.
- Processes and distributes the church mail as appropriate.
- Maintains the physical church calendar in the office and the online church calendar.
- Ensure office equipment is in workable condition, stocked with toner, paper, etc.
- Purchases office supplies as needed.
- As requested by the Pastor and Coordinator of Operations & Support, assists the Church Board, Trustees, and Finance Committee with projects.
- Embodies and reinforces a healthy workplace culture.
- Supports and defends the spiritual and theological oversight of the Lead Pastor to the members and staff of the Church to the integrity of the Church's mission and vision.
- Processes, routes, or responses to the Lead Pastor's correspondence are highly efficient.
- Assists with church mailings and mass emails.
- Assists with updating the church website and database.
- Prepares and sends out a weekly e-newsletter.
- Assists in preparing the sanctuary for worship each week.
- Prepares weekly deposits and delivers to the bank each week.
- Troubleshoots problems as they are identified, solve them when appropriate, and refers them efficiently and sensitively to proper staff, members of the Pastoral/Program Ministry Team, or the Lead Pastor, as necessary.
- Participates actively in meetings as requested by the Lead Pastor to lighten the workload of the Lead Pastor and other Pastoral and Program Ministry Team members.
- Practices complete confidentiality regarding the inner workings of the Lead Pastor's engagement with church members, constituents, and staff.
- Improves systems of office hospitality, communication, and workflow.
Requirements:
- Possesses, at a minimum, a B.S. from an accredited college or university in Accounting/Finance or Business Administration.
- Possesses commensurate experience in fund accounting for non-profits, non-governmental organizations, or government entities.
- Possesses a robust knowledge of Microsoft Excel, Quickbooks, and fund accounting software. Prior familiarity with a CMS is helpful.
- Demonstrates a high level of relational and organizational intelligence that fosters meaningful interactions with staff, volunteers, and congregation members.
- Possesses excellent verbal and written communication skills.
- Demonstrates a willingness to be deployed in ministry as subordinate to the Pastoral Team and effectively function as an extension of that office.
- Ability to maintain discretion and confidentiality.
- Cultivates a spiritual life of devotion and discipleship to Jesus Christ.
- Takes a leadership position in upholding the mission, values, and Core Values of the St. Paul's UMC staff.
Roles and Relationships:
- Along with the Coordinator of Operations & Support, functions to provide the Pastor(s) and Program Ministries staff with appropriate and adequate resources to implement the Church's vision as articulated by the Church Council.
- Ensures performance accountability and professional development for the Church's operational staff to achieve ministry objectives.
- Provides support to the Coordinator of Operations & Support.
- Functions in compliance with the Safe Gatherings Guidelines and the policies and procedures of St. Paul's UMC.
Job Type: Part-time
Pay: $18.00 - $24.00 per hour
