DUTIES / RESPONSIBILITIES

  • ACCOUNTS PAYABLE
  • Ensure All requests for payment have all necessary approvals and GL account descriptions.
  • Pay all invoices due including recurring payments.
  • Set Up Automatic Debits to the accounts for vendor processing.
  • Identify and flag 1099 Vendors and Send 1099 Forms by January 1st each year.
  • Reconcile Scrip Account
  • Accrue invoices as needed.
  • Apply expense charges consistently.
  • File Invoice Payments.

B . PAYROLL & BENEFITS

  • Prepare New Hire Packets
  • Enter New Hires in QuickBooks
  • Update Salaries, Wages, Taxes and Deductions
  • Calculate and enter Time Worked in QuickBooks
  • Process Semi-Monthly Payroll
  • Submit 403b Enrollments to 90 Degrees Portal
  • Enter Employee Information in Concordia Portal
  • Update all Vacation & Sick Accruals
  • Terminate employees on QuickBooks.
  • Terminate Employees in Concordia Portal
  • Reconcile all Payroll Related General Ledger Accounts
  • Reconcile Tax Returns

C. ACCOUNTS RECEIVABLE

  • Process all Student Enrollment Forms received from School Admins.
  • Enter Statement Charges for Each student and memorize these transactions.
  • Send Monthly Billing Statements on the 1STof each month.
  • Credit Students Accounts as Payments are received.
  • Adjust statements as enrollment changes are received and calculate prorations.
  • Send Past Due Statements by the 15thof each month. Notify Head of Schools about delinquent accounts.
  • Make Bank Deposits.
  • Inactivate Students not Returning for the next school Year.
  • Process all Summer Enrollment.
  • Delete Memorize Entries for Students after June Closing and after Summer School.
  • Calculate and send Childcare Statement for Taxes by January 31stof each year.

D FINANCIAL REPORTING

  • Reconcile Bank Statements.
  • Record Sunday Offerings.
  • Prepare Journal entries as needed.
  • Review General Ledger entries.
  • Enter Budget Amounts in QuickBooks after approval of Budget.
  • Run Financial Reports as needed.
  • Participate in and provide information relating to the preparation of Annual Budget.

EDUCATION MINIMUM: Fundamental Payroll Certification, AA in Accounting

EXPERIENCE MINIMUM: Previous Bookkeeping Experience required

Must have QuickBooks Desktop Pro and/or QuickBooks Payroll Online processing experience.

SPECIAL SKILLS: Proficient with Microsoft Office Suite; 10Key
