Essential Responsibilities

To maintain and manage the integrity of the Church Partnerships and Volunteer Database and Records.

Understand and utilize all the beneficial features of the CRM software
Create data standards, update contacts as needed and maintain accuracy
Create a variety of specialized queries and run reports as needed
Organize documentation for easy access and maximum efficiency across the department
Create and monitor a weekly dashboard to measure against departmental goals
Stay abreast of software updates and train the team as necessary
Add weekly church “actions” into the database
Produce mailing lists based on church segmentation profiles
Hand-write and address thank you notes, postcards
Follow-up with churches after mailings either by phone or email
Update the Chaplaincy and Chapel schedules to reflect sign-ups and cancellations

To Help Organize, Manage, and Lead Volunteer Events:
Serving projects

Create welcome signage and set up space with necessary supplies (and tear down)
Manage volunteer projects from start to finish, including check-in, providing a mission orientation and context for the project(s), praying with them
Take pictures/videos of group projects (as applicable, given guidelines)
Participate in the activity alongside the volunteers
Debrief with volunteers at the close of each project

Social events for students

Create flyers/sign-up sheets to promote events throughout the Mission
Meet with Program Staff re: event details, set-up, promotion
Prepare the room for occasions (with staff/student help), and work with sound assistants on A/V (if needed) and setting up tables/chairs
Greet volunteers as they arrive, get them started on the project, and attend to basic needs
Manage and lead smaller events from beginning to end
Take pictures/video (as applicable, given guidelines)

To Support our Marketing/Engagement Efforts with Church Partners:

Assist with marketing materials (banners, brochures, flyers, social media posts)
Follow up with churches after mailings (inviting them for a tour, setting up Zooms, etc.)
Represent the Mission at local church events such as VBS and ministry fairs
Assist with short videos upon request from church partners

ENVIRONMENT

The incumbent has a private office that is generally clean and comfortable. It may include minor annoyances such as noise, odors, drafts, etc. The incumbent is in a non-confined office-type setting in which they are free to move about at will. The incumbent works in a residential neighborhood, which consists of individuals who may have a mental or physical disability or illness.

Physical resources may be limited and, in some cases, are donated.
Must work evenings, overnights, weekends, and holidays as needed

PHYSICAL ACTIVITY

The incumbent may spend the majority of time sitting, speaking, and listening. They are expected to travel regularly (or periodically), as the job requires (see Qualifications above). Education: The candidate must have a bachelor’s degree from an accredited college or university.

Experience: 1-2 years of database experience desired. Must be web-savvy and willing to learn all features and nuances of our database software. Experience with individuals experiencing homelessness, various addiction challenges, mental illness, and dual diagnosis preferred. Nonprofit or church ministry experience is a plus.

Skills and Abilities: Working knowledge of MS Office (Word, Excel, Access, Outlook); typing (min 35 wpm); coordinating and directing a variety of complex tasks and assignments simultaneously and successfully; exercising good judgment and making sensible decisions; attentive to detail; prioritize

EEffective oral and written communication skills; eagerness to learn and be trained; work independently and as part of a team; provide information to the public by answering questions and requests; regular, timely attendance.

Travel/Transportation: The incumbent must travel on a regular (or periodic) basis, as the job requires. The incumbent must have reliable transportation (public transportation may be acceptable depending on the purpose of travel). Suppose the incumbent receives authorization to use a Mission vehicle to perform duties. In that case, they must present a current California driver’s license and good driving record to be placed on the Mission’s insurance policy.
