Full Job Description

Do you have a passion for intercultural exploration, college student missions, and supporting purposeful student travel? We are looking for someone to provide quality administrative and programmatic support for our combined office of International Ministries & Study Abroad. The ideal candidate enjoys managing datasets and managing student employees for strong work processes. The coordinator will support students and teams through pre-travel preparation and training logistics, as well as financial processes and program analysis post-travel.

RESPONSIBILITIES

Provide administrative and programmatic support for LoveWorks and Study Abroad.
Support the Director of International Ministries.
Coordinate arrangements for programs including publicity/promotion, application processes, and preparation phases onboarding processes such as travel health, travel visas, support raising campaigns, payments, and billing. Receive and review and track essential traveler documents during onboarding and training.
Procure and distribute program supplies and manage supply inventories.
Co-act with travel agents, government agencies, church leaders, and study abroad partners and providers.
Resource and support program training events.
Collaborate and communicate well with multiple PLNU departments including Campus Facilities, Wellness Center, Public Safety, Records Office, Student Financial Services, Student Accounts, etc.
Provide excellent service to internal and external constituents.
Track and report on budgeted and restricted program accounts, reconcile and report expenses to Accounting and Finance.
Hire, train, and supervise student assistants to support financial and data processing as well as program promotion and training.
Manage the content and distribution of brochures, electronic newsletters, and program information in several campus publications.
Maintain and archive financial records and program documents.
Support Student Life and Formation departmental programs and projects as needed.

QUALIFICATIONS

Two years of clerical experience, with emphasis on data and financial tracking/management.
One year project management experience or equivalent, with emphasis on logistical details.
Strong computer skills including the use of Google applications as well as MS Word, Excel, Access and website maintenance, and ability to type 45 wpm.
Strong organizational skills including ability to use independent judgment in prioritizing and carrying out tasks.
Ability to work effectively while under deadline pressure and with multiple interruptions.
Accuracy and attention to detail.
Strong communication skills and command of correct English usage, spelling, grammar and punctuation.
Understanding of and commitment to the spiritual mission of the university.

PHYSICAL REQUIREMENTS
The work is primarily sedentary and may require sitting for extended periods of time. Use of computer equipment: computer keyboard, mouse, and monitor. Ability to read documents, email and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Ability to stand, stoop, push, pull, and lift up to 10 lbs throughout the day.
