Job Title: Office and Welcoming Manager

Hours: 20hrs/week Tuesday-Friday, to be scheduled with the Pastor. 9:00am-2:00pm regular office hours. Any hours beyond 20 per week require prior approval from the Pastor.

Reports to: Pastor

Summary: The Office and Welcoming Manager supports Westminster Presbyterian Church operations by being our welcoming presence via telephone, online, and in person, managing the office, handling all rentals, printing necessary materials, and general office operations. Requires experience in kind and compassionate service, handling a wide range of administrative, creative, and executive support-related tasks, ability to work independently on site and remotely with little or no supervision, and demonstrated initiative in accomplishing tasks.

Duties and Responsibilities:

  • Creates a warm and welcoming environment for all
  • Serves as executive assistant to the Pastor, including managing Pastor’s calendar
  • Serves as the point person for all inquiries to the church's main phone and email systems in a welcoming, open, professional manner that represents the values of Westminster Presbyterian Church
  • Prepares correspondence and mailings, produces presentations, publications and other written/electronic materials in accordance with internal and external deadlines
  • Manages the church’s calendars, correspondence, and filing of electronic and paper records
  • Responsible for onsite office management including greeting visitors, unlocking/locking church areas for use, keeping public spaces appropriately stocked with inventory and materials
  • Coordinates scheduling of space rentals and activities for internal and external events with online calendar
  • Coordinates advertising for activities and events by contactingnewspapers, posting on Next-door and other online sites, ordering and posting signage
  • Maintains office records in the designated database, organizing and/or archiving church photos, schedules, and publications
  • Coordinates filing of reports in cooperation with church staff and/or church officers
  • Maintains office inventory and equipment including ordering supplies and ensuring proper maintenance of office equipment
  • Proofreads all materials
  • Other duties as assigned

Qualifications: Post-secondary degree preferred; two or more years of related experience in office management required

Competencies, Skills, and Abilities: Exceptional interpersonal skills in working well with people of various ages, socioeconomic and cultural backgrounds, and exhibits a professional commitment to the values of the Presbyterian Church (USA). Strong technical, organizational, and problem-solving skills needed. Ability to work independently, complete tasks in a timely manner, and contribute to building a positive atmosphere at the church. Strong oral and written communication skills, strong computer skills (use of internet, Microsoft applications), working knowledge of database design, web design (Wordpress), google suite, basic mathematical skills required. Possession of valid driver's license preferred.

Physical Effort: Due to the church's existing layout, this position requires utilization of stairs and the ability to lift 20 lb.

Work Environment: Requires flexibility based on the day's changing demands. Must be able to adapt to current needs of Pastor/members. Requires a sense of humor and strong adaptability. Occasionally may require additional hours on a Sunday morning. Work may be done in the church office or remotely depending on approval of the Pastor. Westminster complies with CalOSHA workplace regulations for COVID19.

Compensation: $19-22, 8 paid holidays, 2 weeks paid vacation.

Sick leave in accordance with San Diego ordinance and California state law.

Classification: Non-exempt position
