Position Summary:
The person in this position is responsible for the reception of guests to the school’s office and to assist the Office Manager in operation and management of the office; providing quality customer service to parents, students and guests of the school, assisting with the secretarial and project management needs of administrative staff, e.g., Head of Schools,
Director of Grammar, Director of Logic/Rhetoric. The person in this position is also responsible for the day-to-day purchasing, receiving and inventory controls of the school’s supplies, equipment and furnishings, including the equipment supply installation. In addition, the person in this position works with Administration to help facilitate special events.

Duties and Responsibilities:

Front Office:
1. Ensure quality customer and receptionist services are provided to guests, parents, staff and students of the school.
2. Receives questions and provides direction to individuals seeking information about HP.
3. Assists the Office Manager in the provision of: i. Daily Lunch program, ii. Prep After School coordination and billing iii. American Express and Petty Cash reconciliation
4. Assists the Office Manager in the provision of administrative, human resource, budget management, projects, events and secretarial support to the Head of Schools,
Director of Grammar, Director of Logic/Rhetoric. Assists the Office Manager in organizing and providing for the daily school/public announcements.

5. Assists the Office Manager in the planning of and carrying out of various school events.

Purchasing :

1. Receive order requests and requirements.

2. Verify use and “fit” of request for the purpose intended, then research and obtain best purchase, shipping price and speed of delivery.

3. Recommend alternatives for items requested as needed.

4. Plan and maintain a “calendar schedule” for items routinely requested and anticipate inventory needs for the coming academic year.

Receiving:
1. Upon receipt, verify quantity and condition of items ordered.
2. Follow up on outstanding orders.
3. Deliver items, assemble small items and/or arrange assembly for large items.
4. Dispose of package materials, etc.

Inventory :
1. Work with staff to log and maintain an inventory of commonly used items.
2. Maintain the inventory of important items such as toner, copy paper, staff lounge supplies, and shed items.
3. Receive and distribute weekly business deliveries.
4. Inventory and monitor school furniture and equipment, add or remove to rooms as needed.
5. Assist Administration with the ordering of school curriculum and software; verify Mac compatibility.
6. Maintain an annual spreadsheet of “teacher classroom purchases” to apply against each teacher’s annual classroom budget for classroom supplies.
7. Monitor and maintain lamination equipment and film.
8. Assist Administration and staff with set-up, running and clean-up of school events.

Job Standards Requirements:
Education:

College degree preferred; High School with relevant experience

Experience:
Accounting, Purchasing, Receiving, Inventory control; capacity for light assembly/mechanical skills

Skills:

Ability to maintain a pleasant and professional manner with staff, students and vendors. Effective oral and written communication skills. Ability to organize and carry out projects, work under schedule, time and budget pressures. Proficiency in
Microsoft Word and Excel.

Equipment Used:
Mac, fax, telephone, photocopier, laminating machine, golf cart.

Personal:

Sensitive, dedicated and mature evangelical Christian of good character and reputation. Must have a firm commitment to the mission of Horizon Prep, the Staff Handbook and the ministry’s Statement of Faith.

Job Types: Full-time, Contract, Temporary

Pay: $17.00 - $22.00 per hour
