POSITION OVERVIEW:
The First Baptist Church of Glenarden is seeking a full-time administrative coordinator to provide financial administrative support to the Media Center Department. This position will assist the Director of Media Center Operations in the management of the Media Center finances, bookkeeping, budget reporting, and store/office administration and support.
RESPONSIBILITIES
- Maintain all financial records and files as per the department policies and procedures.
- Assist in the development and maintenance of the financial analysis and reporting activities for Media Center Operations
- Coordinate with finance office in preparation of monthly department financial reports
- Assist in managing account payable and receivable activities.
- Prepare monthly credit card reconciliation reports for the director and media manager according to company policies.
- Review and process staff and ministry reimbursements
- Oversee expense and vendor payments
- Manage all bill payments and consignment invoicing as per the deadlines.
- Identify and resolve invoicing issues, accounting discrepancies and other financial related issues
- Reconcile monthly general ledger activity, invoices and credit card statements
- Assist in setting and monitoring department budget
- Support the annual financial audit processes through the preparation of standard department reports, as well as, other custom reports, as requested
- Streamline processes and procedures for improving operational efficiency of finance reporting and budgeting systems
- Assist in the preparation of weekly, monthly, quarterly, and annual store sales reporting documents
- Participate in periodic and annual inventories.
- Assist with mobilization and training of new Media Center volunteers. Encourage teamwork among peers
- Participate in Media Center Quarterly Training Events and CBO Quarterly training opportunities
- Follow FBCG and Media Center policies and procedures
- Keep all areas clean with a professional appearance
QUALIFICATIONS
- Must be saved, have a servant’s heart, and be a member, in good standing or willing to join and become a member in good standing of FBCG.
- Must be able to submit to authorities as defined by the Pastor.
- Must possess a gracious, Christ-like demeanor in demanding situations.
- Must have an understanding and appreciation for the ministry and the mission of FBCG.
- Minimum 3 years’ experience in a similar role as administrative assistant or coordinator.
- Excellent software skills, particularly in Excel & MS Office Package
- Excellent organizational skills
- Good general accounting experience; with sound debit and credit comprehension and reconciliations experience
- Previous experience in financial control
- Must possess excellent organizational skills, interpersonal skills, initiative, accuracy and attention to detail, an ability to learn things quickly and possess Godly characteristics.
- Must have a teachable spirit, be a team player, and bring a level of creativity to the office.
- Must have strong verbal and written communication skills, and the ability to maintain confidentiality.
- Must be team oriented and flexible in demeanor and work schedule.
- Must have follow-up and follow-through skills, be resourceful, and be able to multi-task with a smile.
- Establishing and maintaining cooperative relationships with staff, faculty and students.
- Demonstrated proficiency in written and oral communication skills
- Ability to multi-task in a fast-paced environment and meet deadlines as assigned
- Demonstrated organization skills are required.
- Standard English usage, spelling, grammar and punctuation.
- Using sound independent judgment within general policy and procedural guidelines.
- Prioritizing own work, performing several tasks at one time and meeting critical deadlines.

SALARY RANGE: $40,000 - $55,000 annually
