OVERVIEW

The Disciple – Communications and Records Management reporting to the Church Operations Coordinator, attends to the many different office and administrative duties of the church. The DCRM welcomes visitors and makes them feel at home at MCBC while addressing questions and assisting them with any needs they may have. Arranges details for weddings, funerals, baptisms, and any other events that require the use of the church itself. The Disciple – Communications and Records Management ensures all mailings and church correspondence are mailed out according to the church calendar.

JOB DUTIES AND RESPONSIBILITIES

  • Answers and screens all incoming calls, routing them to the appropriate departments when available and taking messages as needed.
  • Completes clerical tasks as necessary, including typing, filing, and copying.
  • Reads and responds to emails.
  • Answers information requests and fills out the necessary paperwork.
  • Welcomes visitors, addresses questions, and assists them with any problems.
  • Refers visitors and members to pastors or other administrators when necessary.
  • Assists in planning church events.
  • Arranges details for weddings, funerals, baptisms, and any other events that require the use of the church itself.
  • Helps distribute church event calendar.
  • Distributes mail that is delivered to parish office to the proper employees.
  • Acts as liaison to other volunteer organizations and church-affiliated committees.
  • Maintains all church records, such as information regarding baptisms and marriages.
  • Responds to all mail correspondences, including letters to ailing members, those who have gone through times of grief, or are otherwise facing difficult times.
  • Maintains an orderly and clean office developing a filing system which is organized and efficient.
  • Prepare reports to the Board, quarterly business meeting and annual business meeting
  • Assist in the creation and sending of church materials such as the monthly newsletter.
  • Enters new visitor information into a database of members, attendance, and sends notices and acknowledgements on important dates.
  • Maintains confidentiality on all information contained therein.
  • Make photocopies as needed

KNOWLEDGE, SKILLS and ABILITIES

  • Must be able to work at a fast pace and stick to weekly deadlines.
  • Must be a self-starter with an innovative approach to administration and a keen eye for detail.
  • Ability to exercise exceptional judgment in dealing with sensitive and personal issues.
  • Must be able to communicate effectively both verbally and in writing.
  • Must be proficient working with Microsoft Office – Word, Excel and PowerPoint.
  • Must be committed to the church’s mission.
  • Must be an able and willing member of the church team.
  • Ability to be courteous and tactful with members, especially in times of grief and crises in their lives.
  • Must be comfortable with a wide range of individuals, able to work and comfort those from all walks of life.

EDUCATIONAL REQUIREMENTS:

  • Associate degree, Bachelor’s degree preferred, with 1 - 2 years’ clerical or administrative experience.
  • High School diploma with 10 years clerical experience.
  • Experience working in a church environment is a plus.

WORK ENVIRONMENT

  • Time is spent in a church office performing clerical duties.
  • Must have the ability to work weekends and attend some special events as needed.

Job Type: Part-time

Pay: $25,000.00 - $30,000.00 per year

Schedule:

  • Monday to Friday
  • Weekend availability

Mask are optional but there may be a requirement to wear one at the request of church leadership.

Education:

  • High school or equivalent (Preferred)

Experience:

  • Administrative: 3 years (Required)
