RESPONSIBILITIES
The executive assistant'sduties and responsibilities include but are not limited to:
- Manages the day-to-day operations of the executive offices.
- Anticipate the natural needs of the Executive.
- Assist with personal task and assignments as needed.
- Provide exhaustive support to the executive on personal and business engagements, meetings and appointments.
- Serve as a travel companion
- Manage the executives personal and business calendar, as well as have responsibility for travel coordination.
- Weekly and daily review of appointments, meetings and engagements
- Support the executive offices with project support, event management and other administrative tasks.
- Create presentations, executive briefings, and reports for executive use.
- Handles special assignments and projects as directed.
- Manages and juggles multiple tasks, assignments, projects daily.
- Coordinates logistics for special guest.
- Ability to graciously serve all members and guests interacting with the executives.
- Ability to form and maintain partnerships with other key and essential staff members.
QUALIFICATIONS
- Must be saved, have a servant’s heart, and be a member, in good standing or willing to join and become a member in good standing of FBCG.
- Must be saved, be a Christian example for the staff and support the work and ministry of FBCG.
- Must have a servant's heart, possess a gracious, Christ-like demeanor in demanding situations.
- Must be able to submit to authorities as defined by the Pastor.
- Must possess strong people skills and a spirit of hospitality.
- Must have experience and skill to negotiate with vendors and companies.
- Bachelor’s degree desired. Minimum of 5 years of executive level (C-Suite) administrative support experience, required.
- Advance level proficiency in Microsoft Office Suite, Visio, Internet, and Microsoft Outlook.
- Familiar with Apple (MacBook, iPhone, iPad)
- Use of computer to create spreadsheets, compose correspondence, manage databases, create presentations, reports, and manage calendar.
- Knowledge of office equipment, such as facsimile machine, scanner, copier, and telephone systems.
- Demonstrated working experience in organizing and establishing job priorities to meet deadlines in a fast-paced executive office environment.
- Must have advanced level written and oral communication skills. Proofreading and editing skills are required.
- Possess the ability to effectively schedule meetings and prepare meeting agendas, respond to routine correspondence and researching material.
- Must possess excellent time management, follow-up, and follow-through skills, with an eye for detail.
- Ability to deliver presentations in a clear, concise, and accurate manner.
- Ability to prepare executive briefings that may include confidential information.
- Ability to create and maintain a comprehensive filing and retrieving system.
- Possess excellent interpersonal skills, exercise spiritually mature judgment and good decision-making ability.
- Ability to be extremely flexible in an environment that is subject to many “spur of the moment” changes.
