JOB SUMMARY: The Institutional Giving Assistant is responsible for high-quality report development for new and recurring grants and contracts; active donor cultivation and stewardship; ongoing prospect research; and other fundraising-related activities. The Institutional Giving Assistant also works closely with programs and central services colleagues to create complete and accurate funder reports, maintain the reporting calendar and database updates, identify new funding opportunities that promote the agency’s mission, and support all functions of the Institutional Giving team.

ESSENTIAL DUTIES and RESPONSIBILITIES:
Provides support to the Institutional Giving team with multiple aspects of proposal submissions to government, foundation, and corporate donors.
Assists with the creation, completion, and/or compilation of proposal attachments, cover sheets, and other supporting documents.
Upload’s grant/contract documentation to the shared drive/server.
Edit’s acknowledgement letters to donors.
Updates and maintains records in Raiser’s Edge donor management software.
Conducts prospect research and creates prospect profiles on lapsed and potential new donors.
Edits, assembles, and submits report packages to current donors, including narrative text and financial statements.
Ensures all reports and supporting documentation are accurate, meet funders’ specific requirements, and are submitted on or before the due date.
Maintains regular communication with programs and finance staff to ensure that all parties are aware of reporting requirements and deadlines.
Assists with renewal and post-award tasks to support grant compliance and management, including gathering and preparing compliance documentation for executive review and scheduling contract review meetings.
Conducts subject-matter research for specific needs statements and standard organizational text.

EDUCATION and EXPERIENCE:
High School Diploma or GED; Bachelor’s degree in Business, Communications, Education, or related field highly preferred.
Two (2) years of relevant work experience, preferably in a non-profit environment.

SKILLS and COMPETENCIES:
Must be a detail-oriented and organized self-starter with the ability to multi-task, prioritize, and meet multiple concurrent deadlines.
Able to produce quality results on-time with attention to detail.
