SUMMARY
Provides programmatic and technical support for the Defense Health Agency, Clinical Support Division. Provides professional consultative services including administrative support, management studies, meeting support, and preparation of responses to federal agencies, reports, and official correspondence.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Includes the following:

  • Engages and communicates (written and verbally) with senior executive leaders within the MHS governance structure on a regular basis.
  • Provides direct support to key government leaders for task execution and management including scheduling meetings, coordinating travel, logistics, preparing agendas and meeting minutes, tracking action items and due outs, collecting and preparing read-aheads, developing executive action/decision packages, as well as memorandums of support or agreement, standard operating procedures or manuals, and/or DoD or HA/DHA issuances.
  • Assists in the preparation and of correspondence and task packages received through the Task Management Tool (TMT) to ensure proper routing, coordination, and progress tracking across multiple levels within DHA/HA while keeping Action Officers informed.
  • Provides CSD Defense Travel System (DTS) administrator services to include preparing and adjudicate travel orders for CSD staff members.
  • Assists in the preparation of reports and letters to external organizations, including Congress and special interest groups.
  • Assists the workstream lead with collecting the necessary data and information to be used for drafting testimony for congressional subcommittees concerning clinical matters of the Military Health System. Source material shall come from internal research, DoD publications and published literature.
  • Coordinates and manages other projects and tasks to ensure timely program delivery.
  • Performs other job-related duties as assigned.

SUPERVISORY/MANAGEMENT AUTHORITY
No supervisory or management authority.
EDUCATION AND EXPERIENCE
Bachelor's degree or equivalent combination of education and/or experience. One (1) to four (4) years of experience in office administration or operations is preferred. Experience supporting the Federal Government or Department of Defense, or the Defense Health Agency experience is highly preferred.
KNOWLEDGE, SKILLS AND ABILITIES

  • Ability and desire to work with a high-performing team in a fast-paced environment is required.
  • Good organizational skills and excellent oral and written communication skills are required.
  • Skill in providing meeting support to include scheduling/coordination, preparing associated documents, and adjudicating meeting minutes is required.
  • Skill in coordinating official government travel utilizing the Defense Travel System (DTS) is highly preferred.
  • Skill using Task Management Tool (TMT) is preferred.
  • U.S. Citizenship and DoD government security clearance NACI required.
  • The ability to successfully pass as drug screen and a federal background check is mandatory.

WORK ENVIRONMENT
Work will be performed in a climate-controlled office environment.
Estimated Starting Salary Range: $ 50,000.00 - $ 65,000.00 annually
