Job Title: Administrative Assistant

Reports To: Associate Pastor for Families Youth & Children and Associate Pastor for Adult Ministries

FLSA Status: Exempt

Summary: Provides direct administrative support to the Associate Pastor for Families, Youth, and Children and the Associate Pastor for Adult Ministries. Provides administrative support for programs, committees, and councils they work with, including database maintenance, email mailings, material creation, correspondence, scheduling of meetings, meeting notices, registrations, and related duties and administrative support for these two ministry areas. This person reports directly to the Associate Pastor for Families, Youth, and Children and the Associate Pastor for Adult Ministries.

Duties and Responsibilities include the following. Other duties may be assigned.

Associate Pastor for Families, Youth, and Children a,a and Adult Ministries

Teacher support:

· Compile materials for the Fall program and attend the meeting(s) on an as-needed basis

· Maintain calendar and Mazevo (calendaring software) for the program year and other meetings

· Ensure correct setup for events

· Provide registration forms and coordinate information with Mazzeo

· Maintain up-to-date registration forms for Church schools and Youth Groups via Realm

· Prepare check requests and coordinate payment as needed

· Attend weekly program and staff meetings

· Create weekly slides for Adult Education classes

Promote educational opportunities:

· Coordinate production of Adult Education catalog and mailings

· Assist with production and maintenance of weekly children’s worship bulletins

· Maintain RSVP lists for various events

· Order materials and supplies for programs

· Recruit Lenten Covenant Group leaders and participants

Communication:

· Manage correspondence, including the compilation of weekly email blasts, monthly birthday cards, & yearly class list information

· Create and coordinate distribution of weekly email blasts

· Create & post other signage as needed; maintain website calendar for events

· Communicate with FYC and Adult Ed Councils & various subgroups

Major programs administrative support:

· June Day Camp, including registration, payment, email list, and required forms

· Major Youth Events, including registration, payment, and information needs

· Arts Month assignment lists and signage

· Saturday Seminar

Library Support

· Coordinate with the Librarian to implement the use of cataloging software for Westminster’s library collection.

· Facilitate the logistical/organizational daily aspects with the librarian.

Acts as backup for Reception and other Administrative Assistants as needed.

Qualifications:

Language Ability:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of introductory algebra and geometry.

Reasoning Ability:

Ability to solve practical problems and deal with various concrete variables in situations where only limited standardization exists. Ability to interpret multiple instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

To perform this job successfully, an individual should know Microsoft Office, including Word and Excel, inventory software, internal church website, internet software, human resource systems, order processing systems, project management software, Realm, Constant Contact, WordPress, and Mazzeo.

Education/Experience:

Associate's degree (A. A. / A. S.) or equivalent from a two-year college or technical school; or three to five years related office/administrative experience and training; or equivalent combination of education and experience.

· Ability to interact positively with the church and members

· Skill in prioritizing work demands and ability to meet deadlines

· Strong written and verbal communications skills

· Aptitude and interest in computer system administration

· Supports the mission of Westminster Presbyterian Church

· Ability to professionally manage confidential information and must be able to exercise discretion and maintain confidentiality

· Excellent organizational skills, including ability to prioritize assignments and meet deadlines

· Excellent interpersonal skills, comfortable making phone calls

Physical Demands: The physical demands described here an employee must meet to perform the essential functions of this job successfully. Compensation: This is a 1.0 FTE, exempt position. Pay range of $38,000-$43,000 annually, depending on experience. Competitive benefits include employer-paid medical, HSA contribution, dental, Life/ADD/LTD, generous paid vacation and sick time, holidays, and retirement (403b) funded at 6% plus 3% matching.
