JOB SUMMARY

The Coordinator III provides strategic, technical, and administrative support to the Dean’s Office in the School of Education. The School of Education is located on the Minneapolis campus.

ESSENTIAL FUNCTIONS

Manage office support for the Dean and the Associate Dean(s). Examples of possible tasks include:

Create and handle highly confidential documents and data with tact and discretion, and producing analyses of that data upon request:
Organize confidential faculty performance reviews and construct (for purposes of analysis) data based on quantitative assessments included in the reviews
Format, transmit, and archive dean’s evaluations of faculty and staff for tenure and promotion
Assist in managing grievance processes involving faculty, staff, and students
Maintain salary information for faculty and staff within the School of Education; provide analysis of the data as requested by the dean; transmit pertinent salary letters
Hire, schedule, and supervise work study students and support specialists within the School of Education and organize the team to ensure the smooth functioning of the dean’s office. Examples of possible tasks include:
Mentor work study students and support specialists to ensure a welcoming environment for visitors to the School of Education
Supervise and assist staff to maintain and organize office supplies, directories, and other tools that facilitate day-to-day operations
Manage the team to arrange and coordinate materials and other necessary details for internal and external meetings, conferences, and special events, including food, agendas, electronic presentations, and reports
Manage creation and coordination of dean’s office calendars and schedules
Direct special projects connected with the operation of the dean’s office, as assigned. Examples of possible tasks include:
Request and manage contracts for the School of Education (working with Purchasing and General Counsel as appropriate)
Manage processes for the School of Education’s Curriculum Committee and serve as its recording secretaryo
Assist in formulation and preparation of budgets and project proposals

Ensure, with the assistance of other staff and faculty, the existence and currency of digital databases, records, and archives

Maintain currency with appropriate university resources (e.g., Banner, Optix, Curriculog, Salesforce, etc.)
Create or acquire new resources as necessary
Provide training as appropriate
Retrieve materials as requested
Manage usage of resources to ensure compliance with standards and best practices

Provide specialized support for academic departments within the School of Education as requested by the dean. Examples of possible tasks include:

Provide administrative support for the doctoral program in Educational Leadership
Provide administrative support for the LSA program in Educational Leadership
Coordinate collection and organization of documents for external accreditation reviews, such as the BOSA (Board of School of Administrators) review

Liaison between the deans and the faculty (full-time and adjunct faculty); liaison with coordinators of the academic departments and with program managers and directors as necessary and appropriate to ensure coverage of all crucial functions; troubleshoot questions and issues.

Other duties as assigned.

QUALIFICATIONS:
Minimum Qualifications

High school education or the equivalent
Four years of administrative support experience
Fully vaccinated for COVID-19 or eligible for legally required exemption such as a medical or religious reason.

Preferred Qualifications

Administrative support experience in a higher education setting
