The Purpose of this position is to provide skilled clerical support for the parish staff and facilitate communications as the first contact person for all who call or walk into the parish offices. This position is a resource to the staff, cemetery, parishioners and parish volunteers.
General Responsibilities: Employment in and by the Church is substantially different from secular employment. Church employees must conduct themselves in a manner, which is consistent with and supportive of the mission and purpose of the Church. The behavior must not violate the faith, morals or laws of the Church or the Archdiocese of St. Paul and Minneapolis, such that it would embarrass the Church or give rise to scandal. Being a Practicing Roman Catholic is required for this position due to the nature of the work related to sacramental records, liturgical support and pastoral support.
QUALIFICATIONS
Representative Responsibilities:
- Clerical
- Prepare general correspondence, including handling routine baptismal, funeral and marriage records requests, filings and notifications.
- Provide clerical support to the pastor.
- Prepare general intercessions for Mass as instructed as pastor, as well as pulpit announcements and other liturgical documents as may be needed.
- Prepare brochures and other promotional materials, including the Sunday bulletin.
- Manage and update website content.
- Manage social media.
- Maintain all front office files.
- Maintain sacramental records for baptisms, marriages, and deaths.
- Monitor and order office and liturgical supplies as needed.
- Update and maintain parish membership database.
- Prepare funeral service programs and other liturgical materials as needed.
- Help to keep the office tidy and adequately stocked with supplies and necessary forms.
- Order office supplies and any liturgical supplies as needed.
- Manage bulletin publication and act as operational resource to external bulletin publishing company.
- To participate in creating a productive environment, promoting good morale, adequate communication and cooperative teamwork
- Other duties as may be needed to support the parish office.
- Distribute office mail as appropriate.
- Supervise and assist office volunteers and manage bulk and special mailings.
- Send weekly and monthly updates to parishioners though email.
- Receptionist
- Screen all incoming calls in the fashion requested by staff.
- Meet and greet all visitors.
- Handle routine questions about St. John’s policies and procedures.
- Manage and record messages for phone auto attendant.
- Receive and receipt any checks of cash that come into the office, including money for candles, flowers, mass stipends, donations and other payments.
- Schedule mass intentions.

Knowledge, Skills and Abilities needed:
- To be a team member.
- To maintain the highest standards of confidentiality.
- A proficiency in word processing, InDesign, and other computer programs necessary.
- Good technology skills, including web content management skills.
- Good written and oral communications skills.
- Excellent rapport and relationships with parishioners and parish volunteers.
- The ability to work with minimum of supervision and direction.
Other Requirements
- All employees are expected to be present, ready to work and on time for all scheduled work hours.
- Employees must complete VIRTUS training, undergo a background check and sign the Pastoral Code of Conduct.
- Employees must comply with the requirements of PACE (Protecting All Church Employees) program of Catholic Mutual Insurance including annual in-service training as prescribed by the parish/archdiocese.*

- Walking to complete tasks in other rooms or areas of parish property
- Ability to lift up to 25 lbs.
