St. Andrew's Lutheran Church, located in Mahtomedi, MN, is currently seeking a full-time Executive Assistant and Hospitality Coordinator.

The Executive Assistant and Hospitality Coordinator supports and affirms the identity, mission and vision of St. Andrew’s Lutheran Church by providing comprehensive support to the Executive Pastor and coordinating the organization's hospitality. Additionally, the Executive Assistant and Hospitality Coordinator will be involved in all administration for new members, LIFEU (adult education programing), Young Adult Ministry and Global Missions.

Essential Responsibilities:

  • Completes a broad variety of administrative tasks that facilitates the Executive Pastors ability to effectively lead the organization, including Executive Pastor calendar management.
  • Arranges and handles all logistics for New Members, LIFEU, Young Adults and Global Missions.
  • Works with Executive Pastor to ensure fiscally responsible budget management for above areas.
  • Schedules rooms/resources for above areas.
  • Provides event management support for above areas.
  • Manages all communication, invitation and follow up with above areas.
  • Coordinates with the Marketing and Communications/Media team to create material related to new members ministry, LIFEU, Young Adults and Global Mission.
  • Maintains open communication with Facilities team to ensure adequate facilities support for all above areas.
  • Provides hospitality to all guests and helps to create a welcoming environment.
  • Creates and maintains hospitality for our Welcome Desk Areas.
  • Arranges and handles all logistics and scheduling for our welcome desks.
  • Creates and maintains systems, procedures and instruction manuals as related to hospitality.
  • Manages the internal training of hospitality helpers.
  • Manages the process by which St. Andrew’s receives visitor information.
  • Regularly attends staff meetings, staff worship, and required staff training.
  • Works assigned welcome desk shifts on occasional Sundays and special worship events, including Christmas Eve and/or Easter.
  • Works all required “All Hand on Deck” events, including, but not limited to: Christmas Senior Luncheon, Block Party, etc.
  • Other duties as assigned to meet the needs of the organization.

Minimum Requirements:

  • High School Diploma required; Degree preferred in Business, Marketing, Communications, Education or related field.
  • Three years of progressively responsible administrative, marketing, and/or public relations experience.
  • Demonstrated experience working with the community, building productive relationships.
  • Or an equivalent combination of education and experience.

Required Knowledge and Skills:

  • Highly motivated and able to demonstrate strong verbal and written communication skills as well as strong customer service and interpersonal skills.
  • Above average technical ability in database and Word, Excel, Microsoft Publisher, Gmail, Google applications, and similar programs, sufficient to create, update and save a variety of documents.
  • Working knowledge of program administration.
  • Ability to work in a collaborative team environment; enjoys collaborating with other ministry areas.
  • Affinity for creating marketing materials.
  • Ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism.
  • Ability and willingness to learn new software applications.
  • Excellent spelling, grammar, editing and organizational skills with an emphasis on prioritizing work and problem solving.
  • Ability to deal with highly confidential information.
  • Proven ability to work independently with minimal supervision.
  • Ability to maintain an executive presence.
  • Ability to discuss matters of faith with supervisor, co-workers, volunteers, and guests.

Reports to:

Executive Pastor

Work Hours

Full-time, 40+ hours per week. Schedule varies based on Church events. Evenings and weekends required as church needs dictate. Occasional holidays required. Specific work schedule determined in collaboration with Supervisor.
