GENERAL RESPONSIBILITIES:

REPRESENTATIVE RESPONSIBILITIES:
General Administration:

  • Assures that written materials are processed accurately and efficiently using Microsoft Office and other programs necessary to ensure the best possible outcome.
  • Ensures a timely and accurate receipt and distribution of phone calls, emails, and website correspondence to appropriate staff. Provides assistance and/or referral to callers and visitors.
  • Ensures efficient processing of incoming mail by sorting and directing mail to appropriate staff.
  • Ensures efficient processing of outgoing mail including correspondence, payables, certificate of ownership, etc.
  • Maintains the functional filing system for the centralized operation of The Catholic Cemeteries.
  • Manages the sale and distribution of cemetery publications by packaging materials, preparing invoices, and mailing.
  • Manages the ordering and inventory of office supplies for the corporate office.
  • Prepares and distributes meeting materials for the Corporate and Pension Boards including maintaining a filing system for all corporate records.
  • Maintains the stock log for purchase agreements. Follows up with Family Service Specialists on a quarterly basis regarding unrecorded purchase agreements, determining their status. Reports to Director of Finance any purchase agreements that are more than 6 months outstanding.
  • Completes mailings for the executive staff such as but not limited to accounts payable checks, misc. letters, and purchase agreement confirmation letters.
  • Provides support to all cemetery offices assisting with office coverage and various projects as directed by supervisor, including assisting with various cemetery mailings.

Cemetery Recordkeeping and Lot Ownership
 

  • Manages and oversees lot ownership issues as well as training all cemetery staff on MN laws. Oversees the proper completion of all lot ownership documentation. Performs a final review of all affidavits and transfer instruments prepared by cemetery office staff to ensure accuracy. Ensures that title updates have been properly updated in database according to established procedures. Manages the issuance of new certificates of ownership via the updating of database.
  • Responds in a timely manner to written and oral inquiries regarding the status of lot ownership, burial entitlement, and other routine cemetery questions.
  • Responsible for preparing all Trust Deeds and quitclaims in coordination with Executive Director and Director of Finance. Supports office staff in preparation of title update paperwork (affidavits, transfer instruments) as needed. Processes all lot ownership transactions and forwards completed documents to the appropriate cemetery.
  • Reviews purchase agreements processed in HMIS for ownership & location accuracy, files corporate copy of purchase agreements, runs month end purchase agreements payoff report and distributes to appropriate cemeteries. Prepares weekly batch of purchase agreement confirmation letters for previous week’s sales. Prepares and issues certificates of ownership with accompanying letter for the Executive Director, to be mailed four weeks after paid-in-full purchases, and by the third week of month following the month in which purchases on a payment plan have been paid in full.
  • Manages requests for repurchase of cemetery property in coordination with Family Service Specialists, Director of Finance, and Executive Director.

Cemetery Memorial Donations
 

  • Processes invoices and receipts for all donations and prepares acknowledgement letter to respective donor. Manages database entries of all donor information for use in management reports and communications with donors.

Manages the inscription of names at the Children’s Memorials at Resurrection and Gethsemane, and the Peaceable Kingdom Garden at Resurrection. Coordinates memorial plaque inscriptions with donors and the engraving contractor as well as managing the work orders for tree plantings for the John Ireland Tree Fund with cemetery managers.

4 Special Events and Projects

Implements employee social events as directed by executive staff.

Implements and attends, as directed, company special events or projects. This includes, but is not limited to Memorial Day, Parish Cemeteries Seminar, Pre-Planning Seminars, and Christmas Remembrance Masses. Duties may include preparation of mailings, placing orders with outside vendors, reserving space, overseeing reservations, assisting with event setup and hospitality, and other related administrative duties.

Contributes to various committees/groups as assigned that include, but not limited to, Rules & Regulations Committee, Communications Team, and Office Staff.

Media

Website:
Working in consultation with the Communications Team:

  • Solicits new content from respective managers, proofreading, editing and inputting new content onto the website.
  • Maintains the website calendar of news & events.
  • Tracks and reports website metrics.
  • Involved in website re-design.
  • Ongoing website editing involvement.

Google:

  • Maintains the six business listings on Google which includes The Catholic Cemeteries Corporation and each respective cemetery.
  • Analyzing and share with the Marketing Team the “Insight” metrics available and comparing its impact to our marketing techniques.

Facebook:
Develop, coordinate and create content in cooperation with the Communications Team content for Facebook that furthers the mission of The Catholic Cemeteries.
 

  • Respond to all inquiries and reply to comments made on posts.
  • In coordination with the Marketing Team, implement the online advertising platform through Facebook.
  • Manage Facebook advertising budget.
  • Analyze and share with the Communications Team insights gained from social media reach: the amount of followers gained/lost, the posts that get responses from the community, the demographic data of our followers, promotions, likes, reach, page views, action on page, etc.
  • Work with other social media professionals including the Catholic Communicators Network to gain further education and insight into maximizing the potential of Facebook and other social media.
  • In coordination with the Communications Team, implements, manages and creates content for any potential social media content such as Twitter, Instagram, Blog, etc.

Digital Library:
Maintains the growing collection of digital photography for each cemetery location.

Obtains necessary photography for social media content and other print-media needs.

Print/Electronic:

  • Designs, produces, and/or edits marketing, resource, and other communication materials.

General Responsibilities
 

  • Contributes to the good public relations of The Catholic Cemeteries by projecting a positive and professional image and work ethic with co-workers and visitors and by assisting families in a comforting manner.
  • Be present, ready to work, and on time for scheduled times of work and to maintain consistent work attendance.

Performs other duties, as need is apparent or as assigned.

QUALIFICATIONS

Experience in a fast-paced office

Ability to be an effective communicator verbally and in writing

Technology experience using computers, copiers, scanner, postage system, Adobe products
