Responsibilities include the following:
Administrative/Clerical
Provide a welcoming experience for all callers and visitors
Provide support to the Faith Formation Staff
Create and manage registrations, tuition payments and sending electronic invoices
Enter data into Faith Formation family database and prepare reports/attendance
Manage facilities scheduling for all programs
Work with designated coordinator of Virtus to make sure all volunteers are Essential 3 qualified (Safe Environment)
Provide Safe Environment Lesson attendance for children in the program for OPCY spring and fall audits
Ensure all incoming monies are routed to the Finance Department
Receive and log information from Finance Department for event fees
Process invoices (in conjunction with Accounting Staff)
Create and maintain the program calendar meeting with the parish and school staff to coordinate the overall calendar, sign-ups i.e., priest needs, events, hall/door monitors
Order supplies
Aid in fundraising initiatives

Communication

Check mailboxes, voicemail, and e-mail regularly
Prepare the Faith Formation weekly bulletin page and submit it to the Communication Coordinator, create and distribute the Mustard Seed Gazette and Flocknote correspondence
Email families as necessary and as directed by staff
Assist Communication Staff when needed

Faith Formation

Assist the Director of Faith Formation in supporting all Faith Formation Staff.
Provide on-site support and coordinate volunteers for Wednesday afternoon and evening classes (on-site during evenings only when needed).
Assist the parish sacramental programs of First Reconciliation/Eucharist, Confirmation and RCIA. Duties include obtaining student data from SCCS, Baptismal Certificates, forms, creating certificates, pew banners and nametags.
Work with Adult Enrichment groups – scheduling space and ordering materials
St. Mary’s and St. Michael’s Kiosk – work with volunteer to process orders, make payments and coordinate movement of incoming materials to volunteer

Safe Environment

Assist in sending all the names of our Faith Formation assistants to the Safe Environment Coordinator to ensure that all our volunteers are E3.
QUALIFICATIONS
High School degree required; Associates preferred
Practicing Roman Catholic
Previous experience working in an office setting
Understands and desires a behind-the-scenes role in ministry
Ability to relate to and build positive relationships with youth, parents, adult volunteers, and staff
Comprehensive computer and applicable software skills necessary. Proficient in Microsoft Suite, specifically Publisher, Excel, Outlook, and Word
Ability to work independently with little or no supervision, but to also accept direction well and function in a team-oriented environment
Demonstrate strong organizational skills and attention to detail
Extensive telephone experience is necessary. Good working techniques in recording and transmitting accurate messages both through phone and email
Demonstrated proficiency in the English language, verbal and written
Experience in operating various office equipment
Responsible for carrying out high-quality work
