GENERAL RESPONSIBILITIES:
Employment in and by the Catholic Church is substantially different from secular employment. Support Saint Thomas Academy and the Archdiocese of St. Paul/Minneapolis’ mission and goals and actively articulate them to the Saint Thomas Academy constituents and the wider community.
REPRESENTATIVE RESPONSIBILITIES:
Audit student data for newly enrolled students to ensure accurate records
Maintain accurate student and graduate data records in the student information system (SIS) including contact information, processes related to course enrollments, schedule changes, transcripts, test scores, and other data fields as needed
Manages all aspects of course scheduling in PowerSchool’s PowerScheduler, always in collaboration with the Director of Technology. These include, but are not limited to, the master class schedule build, instructor and room assignments, course registration and course drops, and locker assignments.
Prepare and disseminates course and curriculum materials, presents course selection information one-on-one and in group settings, and responds to individual inquiries as needed.
Responsible for the timely development and publication of the academic calendar and course catalog. Collaborates with the Assistant Headmaster, the Director of Technology, Director of Middle School, department chairs, the Creative Director, and other administrative staff to ensure the timely publication of these materials.
Participate in the process of storing final term grades in the SIS. Record GPA information. Generate data for academic eligibility and academic awards for current students and disseminating information appropriately.
Process add/drops, grade changes, and similar requests according to school policy.
Collaborate with College Counseling to assist in tracking student graduation progress and with Admissions to prepare permanent records for incoming students, especially transfer students.
Audit and certifies eligibility for graduation.
Generate aggregate reports and data files on a consistent and ad hoc basis, as determined by academic administration. These reports may include academic probation lists, updates on student academic performance, class enrollment information, student performance by class, academic laudatory, student retention, and so on.
Fulfill requests for education verification, student records, and transcripts for graduated and transfer students
Partner with Admissions and relevant department chairs to coordinate placement testing and class placement.
Communicate policies to faculty, especially those pertaining to grading deadlines as well as grade changes, omissions and incompletes.
Remain abreast of best practices in peer institutions. Continuously develop a working knowledge of PowerScheduler and its capabilities.
Create a daily lunch schedule for all rotation days that ensures balanced student counts in each lunch period
Perform other duties as assigned.
QUALIFICATIONS
Bachelor’s degree in information technology, education or educational leadership, library science or related field or equivalent experience
At least three years of experience providing administrative support in records, attendance or data management, preferably in the secondary or post-secondary environment.
Significant experience with academic databases and software. Experience and expertise with PowerSchool’s PowerScheduler software is preferred, but not necessary.
Superior organizational skills and professionalism are a must.
A sincere interest in Saint Thomas Academy and its mission and a willingness to represent the principles of the Catholic faith.
