Job Description: Stewardship Ministry Coordinator
Collaborates with: Pastors, Director of Business Administration, Communications Team, Accountant, Stewardship Volunteers
Supervises: Stewardship Ministry and Finance Assistant
Hours: Part-Time 12 to 30 hours per week program year (flexible for the right candidate), can be less in summer. Tuesdays and other weekdays as needed
FLSA Classification: Non-exempt
Reports to: Director of Business Administration
A/R all ministries, including Music Series: Review reports, cash deposits, and checks in the initial A/R packet prepared by Stewardship Ministry and Finance Assistant. Scan checks to deposit in a remote bank portal. Travel to the bank to deposit cash and receive receipts from deposits. Prepare reports for Accountant on EFT and CC deposits from Vanco to REALM. Process reports and entries on Realm for gifts from online organizations such as Benevity and United Way. Work with UBS to accept and record stock gifts. Work with all forms of electronic giving to assure accuracy, timeliness, and engaged givers.
Pledge Campaigns: Set up and review pledge campaigns in Realm, including goals. Review and notate pledge cards and enter pledges into the REALM Pledge Campaign portal and Pathways for Sunday Offering and capital campaign.
Oversee, supervise and provide guidance to Stewardship Ministry/Finance Assistant.
Reporting and Forecasting: Prepare preliminary monthly reports on Sunday Offering, Starfish, Mental Health Connect, and Spirit Garage as soon as possible after month-end and provide them to appropriate ministry leaders. Review and balance with Accounting reports. Track weekly receipts for Sunday Offering. Communicate potential issues with Pastors and the Director of Business Administration.
Campaign Planning: Develop a timeline and collaborate with others to develop plans, themes, materials, and segments. Prepare mailing labels. Develop and implement a follow-up plan with the communication team and church leadership. Track progress toward goals.
Acknowledgments: Develop and oversee an acknowledgment plan. Manage pathways in Realm. Prepare admissions for gifts and pledges and track through REALM Pathways. Prepare stock in-kind and other notable entries.
Music Series: Prepare donor lists for event programs. Prepare lists for volunteers for invitations, thank you letters, and calls. Prepare monthly reconciliation for Music Series Treasurer.
Statements: Prepare mailed and emailed reports quarterly for Sunday Offering, Foundation, and Music Series.
Other: Manage the American Church envelope program. Serve as one of the staff on the Stewardship Committee. Provide support to Capital Campaign as requested. Miscellaneous filing, system development, data entry, and other projects as needed
Qualifications to Succeed:
Four year degree or equivalent work experience
Prior work or volunteer history in finance, nonprofit, church, and customer service
Knowledge of database systems, REALM preferred
Experienced with Microsoft Office Suite
Can work independently
Can attend evening or weekend meetings on occasion
Collaborative mindset, attention to detail, and concern for quality
Excellent customer service skills
Excellent communication skills
