Position Summary:

The Finance Assistant and Bookkeeper performs daily financial and administrative tasks with a high degree of integrity and attention to detail to establish and maintain trust in the fiscal and administrative functions of All Saints’.

Duties and Responsibilities:

  • Process and post weekly contributions and pledge payments.
  • Perform bank-related financial and administrative functions to include, but not limited to, preparing bank deposits, monitoring bank accounts, reconciling and balance bank statements and resolving any bank errors in a timely manner.
  • Conduct accounts receivable and accounts payable functions including, but not limited to, bookkeeping, deposit entries in the general ledger, calculating submissions for benefits programs, and processing monthly credit card and ACH transactions.
  • Track monthly online, recurring and one-time gift transactions and maintain corresponding database.
  • Prepare monthly financial reports for Vestry, Finance Committee and staff.
  • Assist with fundraising initiatives and pledge campaigns to include, but not limited to, tracking donors, revenues and expenditures and writing and sending acknowledgement letters for gifts, pledges and special days.
  • Partner with outside accountants to prepare for annual financial audits.
  • Enter, update and maintain accurate parishioner and donor information in designated database.
  • Partner with the Treasurer and Director of Operations to oversee proper collection, receipt and handling of money, ensuring established fiscal management protocol is maintained.
  • Perform other duties as assigned.

Qualifications:

  • Associate Degree and three years of bookkeeping experience or equivalent combination of both education and experience.
  • Demonstrated ability to handle membership and financial information confidentially, sensitively and with integrity.
  • Demonstrated understanding of and commitment to GAAP in a nonprofit institution.
  • Demonstrated skill in budgeting and producing income/expense reports and statements of financial position.
  • Proficiency in Microsoft Office applications.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and meet established deadlines.
  • Previous experience in accounting and in the use of professional accounting software, preferably ACS.

Preferred Qualifications:

  • Experience with Realm or similar customer relations management (CRM) software.
  • Experience with relational databases.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. This position requires sitting for extended periods of time. Occasionally requires standing, squatting, reaching and bending. Requires ability to receive information through oral communication both in-person and on telephone. Manual dexterity needed for using computer keyboard. Occasional lifting of up to 10 pounds. Must have adequate vision to operate computer and complete paperwork.

Work Environment:

This job operates in a professional office environment. The role routinely uses standard office equipment such as assigned workstation, computer, phone, copier and file cabinet.
