Performs a wide variety of complex, legal and administrative tasks, and other confidential duties for the Diocesan General Counsel.
Gathers, reviews, and organizes applicable legal documents for attorney review.
Maintains updated and organized legal files and applicable records following the Diocesan electronic filing and records retention policies.
Drafts and reviews correspondence and legal documents, such as pleadings, contracts, and corporate management documents.
Assists General Counsel with drafting of corporate documents, including corporate resolutions, notification letters, board meeting agendas and minutes, consistent with corporate governing documents and Diocesan policies.
Assists parishes and schools with preparation and filing of corporate annual reports with the Arizona Corporation Commission.
Provides support in planning and coordinating annual board meetings.
Manages billing for the Legal and Compliance Office by preparing, finalizing, and processing bills, as well as resolving billing issues in cooperation with the General Counsel.
Communicates with clients and other parties to schedule meetings for General Counsel.
Provide general administrative assistance, such as maintaining the General Counsel's calendar and making travel arrangements.
Organizes and packages informational materials for presentations; prepares printed materials; delivers documents and materials.
Assists with investigation, organization and research and background work as needed for claims and lawsuits from inception through discovery and trial.
Maintains records concerning Risk Management to include insurance coverage information about existing and pending lawsuits.

Additional Job Functions

Performs any other job-related functions necessary to ensure the smooth flow of the operations within the Diocese Legal and Compliance Office; and other duties as assigned by the General Counsel.

Requirements:
Knowledge, Skills and Abilities Required

Working knowledge of basic legal concepts, principles, terminology, and procedures; general legal reference materials; modern legal office practice and procedures; and legal filing systems.
Working knowledge of business English, spelling, grammar, punctuation.
Ability to prepare routine documents and correspondence without the assistance of an attorney.
Ability to handle confidential and proprietary information using excellent discretion and judgment.
Excellent verbal and written communication skills with experience in public speaking and presentations before small and large groups.
Ability to read, interpret and apply laws, rules, and directions.
Able to deal effectively with other employees, departments, attorneys, the public and outside agencies.
Able to independently and effectively multi-task in a fast-paced work environment and adjust to changing workloads to ensure timely results.

Minimum Qualifications

Experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal or working experience in a related position with similar job functions.
Associate degree in paralegal studies, a paralegal certificate, a bachelor’s degree from an accredited college, or a degree from a technical school as a legal assistant preferred.
Excellent verbal and written communication skills and professional demeanor.
Strong knowledge of Microsoft Office, including Word, Excel, and Outlook.
Knowledge of Catholic Church vision, teachings, structure, and policies.
Active practicing Roman Catholic in full communion with the Church.

Work Environment

This job operates in a professional office environment.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This role requires extensive filing and the ability to lift files, open filing cabinets and bend or stand, as necessary.
