The Building Coordinator for FYCC is responsible for employee and visitor safety, supporting building maintenance, repair and upgrades, and compliance with environmental safety and health procedures relating to facility operations. This person works with staff, contractors/vendors and building inspectors to ensure the 434 building is continuously well-maintained and in compliance with all regulatory standards.


This Building Coordinator also oversees all tasks/activities associated with the reception desk. The Building Coordinator will set the “tone” for the building by ensuring conversations in the lobby and FYCC are in keeping with GLIDE’s Core Values and a childcare /youth center.


This person is considered a first responder in the case of emergency/disaster and must be available to respond to urgent situations and emergencies. This person must be willing and able to periodically work non-traditional hours (nights, holidays and weekends). Regular and predictable attendance is essential.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties can be assigned, and the duties and responsibilities of the job are subject to change without notice.

  • Perform supportive services and reception-related activities and projects such as: inventory and ordering office supplies (paper, toner cartridges, postage machine, etc., and recycle whenever possible) maintain staff directory, conference rooms’ schedule, distribute paychecks, ensure IT service requests are completed promptly, do data entry as needed, e.g., updating client ETO information or entering annual surveys;
  • Act as receptionist when needed; greet, announce visitors, ensure sign in/out, accept, route calls/messages. Accept, file/ distribute mail, deliveries, supplies, materials, update, maintain hard and soft files and forms, implement/ update and evaluate administrative procedures and policies;
  • With FYCC Director, coordinate building maintenance and repairs with Facilities Manager to include, but not limited to: security system, video cameras and monitors, elevator, dishwashers, freezers, microwaves, refrigerators, ovens, pest control, plumbing, and heating system;
  • Ensure the Facilities ticket request and janitorial tasks are promptly and appropriately completed. Request special janitorial services as needed;
  • Provide staff with updates of electrical, water and other service outages and scheduled shutdowns;
  • With FYCC Director, ensure facilities staff/contractors/vendors complete work per childcare center licensing and cleanliness regulations;
  • Maintain current files/accurate records of all vendor contacts and business relationships; ie. Bay Alarm, Mazzy’s Fire Protection, Elevator Company etc.
  • Assist FYCC Director with oversight of janitorial services’ contractual arrangements;
  • Open building or ensure building is opened in accordance with established procedures. Protect children, youth, visitors, and staff by ensuring observance of safety precautions and procedures;
  • Ensure the safety of the building’s occupants. Monitor security cameras and all activity inside and around the building. Prevent lingering in front of building, and entrance of unauthorized persons;
  • Stay abreast of disability access requirements and ensure emergency exits are visible and exit signs are lit. Verify that posted maps and signs display the appropriate emergency information and evacuation procedures;
  • Conduct building safety walkthroughs with new staff as part of their orientation to FYCC and contractors/vendors as needed;
  • Oversee the security system and fire-prevention systems in the building. Make sure all security and fire system equipment is operational. Ensure/schedule annual evaluation of the fire sprinkler system and fire extinguishers;
  • During evacuations, assist emergency response teams in assessing building condition, locating missing personnel, shutting off utilities, and delivering status reports to FYCC management team;
  • With FYCC management team, develop and implement emergency plans;
  • Participate on any current or developed GLIDE disaster preparedness or safety committee(s); Represent FYCC in meetings related to building operations, maintenance and repairs;
  • Meet professional obligations through efficient work habits such as: meeting deadlines, honoring schedules, attending and actively participating in staff and individual meetings.


QUALIFICATIONS:

  • Enjoys being around families, youth and children;
  • Excellent organization and planning abilities. Ability to handle distractions and prioritize work within specific timelines. Strong attention to detail, particularly in the area of record keeping;
  • Strong proactive sense of initiative and follow-through, allowing needs and/or problems to be detected early when possible, and to be addressed promptly and successfully;
  • Strong problem-solving skills. Exercises sound judgment;
  • Demonstrated ability to work well under pressure and manage stress effectively in a demanding and fast paced environment;
  • Excellent interpersonal skills. Ability to establish and maintain effective working relationships with those contacted in the course of work. Ability and willingness to act professionally and treat others with respect, sensitivity and patience;
  • Understands the importance of, and maintains confidentiality. Adheres to professional boundaries and standards. Understands and follows basic ethics, values and principles of childcare work;
  • Has the ability to work effectively across cultures. Demonstrates a commitment to learning, communicating and working respectfully with people different from themselves;
  • Commitment to the mission, values, and philosophy of GLIDE.


EDUCATION and/or EXPERIENCE:

  • Any combination of education, training and experience that provides the required knowledge and abilities;
  • Strong supervisory skills;
  • Knowledge of administrative systems and procedures, including records’ maintenance. Knowledge of budgeting and accounting;
  • Experience working in a community based social service agency with socially and economically marginalized individuals helpful, but not required.


MEDICAL REQUIREMENTS:

  • Must pass tuberculosis screening;
  • Must show proof of pertussis, influenza and measles immunizations;


CERTIFICATES, LICENSES, REGISTRATIONS:

  • CPR, First Aid, N.E.R.T trainings helpful.


COMMUNICATION SKILLS:

  • Second language skills highly desired (Spanish, Cantonese, etc.) but not required;
  • Exceptional communication skills;
  • Proficiency in grammar, spelling, and writing. Must be able to write clearly and concisely.


MATHEMATICAL SKILLS:

  • Strong mathematical skills. Ability to understand and prepare basic accounting documents;


COMPUTER SKILLS:

  • Strong computer proficiency with MS Office suite. Facility with spreadsheet and graphic presentation desired;
  • Proficiency in database management and records maintenance helpful.

  • Hearing corrected in normal range. Ability to communicate effectively in person or via telephone in a manner which can be understood by those with whom the person is speaking;
  • A good level of physical fitness to be able to lift children and lift/move equipment/furniture. Must possess ability to independently and safely carry and lift up to 25 pounds;
  • Activities that occur frequently are: sitting, standing, walking, and handling. Activities that occur infrequently are: bending, squatting, twisting, reaching straight, above and below shoulder level;
  • Must possess mobility to climb multiple flights of stairs safely and repeatedly in a given shift. Able to move quickly to address emergency or potentially dangerous situations;
  • Ability to use standard office equipment and access, input, and retrieve information from a computer. Ability to use computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time. Stationed at computer keyboard 50% of working time;
  • As this position requires periods of sitting and repetitive use of a telephone, computer and other office equipment, this person must take short breaks and integrate stretching into her/his daily duties to avoid musculoskeletal disorders.

  • Noise level can become loud, chaotic and distracting depending on situations that arise. Lighting is conducive to completion of work;
  • GLIDE’s buildings are located in the Tenderloin. Due to our surroundings, it is important to always be aware of what’s going on around you while walking around the neighborhood.
