About this position:
St. Ignatius is undertaking a $25MM capital campaign to renovate our historic church building and to deepen our ministry impact for our parish and the greater community. Under the general supervision of the Director of Development, the Capital Campaign Administrative Assistant will help drive our success by managing data, executing large donor appeals, and meeting a variety of key administrative and logistical needs. This is a part-time position, approximately 20-25 hours per week, including occasional evenings and weekends for the duration of the campaign, 8 months. The ideal candidate will have foundational organization, computer and administrative skills necessary to excel in the position. This is an excellent position for someone interested in learning about database management, fundraising and large-scale project management.
Position Summary
The Campaign Administrative Assistant provides project and administrative support for Capital Campaign efforts. These include data entry, preparing correspondences, meeting and event logistics and other administrative duties.
Job Responsibilities
- Works with a wide variety of sensitive/confidential information in our Salesforce donor database, in donor communication, and in clerical support for a four-person parish fundraising team.
- Manages Salesforce tasks including: data entry, reporting and retrieval for donor pledges, payment details, contact information, correspondence notes and other necessary information.
- Assists with event and meeting logistics.
- Prepares, proofreads and edits written correspondence such as memos, e-mails, letters, requests for information, and other documents.
- Compiles data required for reports, statistical information; formats information for presentation; assists in preparing reports, and memos.
- Works closely with Campaign team to develop and maintain all shared communications and management systems.
- Provides backup administrative support and performs special projects as assigned.
Experience
Demonstrated ability to accomplish the position.
Knowledge, Skills and Abilities
- Familiarity with general principles of nonprofit fundraising.
- Ability to treat confidential information with utmost discretion.
- Demonstrated ability to work with MS Office Suite.
- Experience with or capability to learn the Salesforce non-profit success pack (NPSP) platform for CRM, fundraising reports and dashboards.
- Excellent communication skills (verbal and written).
- Proven ability to work on a collaborative team.
- Demonstrated organizational skills and ability to pay close attention to detail.
- Ability to meet deadlines and while managing multiple projects and priorities.
- Strong proactive sense of initiative and follow-through
Working Conditions/Physical Demands
Work is performed in an office setting with frequent in-person or virtual interactions. It is essential to be able to meet the physical demands of sitting for prolonged periods of time at a desk/computer workstation, using repetitive arm, hand and finger movements. Some stooping, kneeling, bending, crouching, lifting, walking, carrying, and other movements may be required.
This is a part time position paying $25 an hour with no benefits and a flexible work schedule.
