Join our Refugee Resettlement team as the Citizenship Intake Specialist is responsible for providing assistance to refugees seeking adjustment of status and citizenship applications and other services allowed by the Citizenship component of the Refugee Support Services Program. These services will be provided to internal referrals from Catholic Charities’ Refugee Resettlement Program as well as external referrals from the Houston Refugee Consortium members who meet program requirements. The Citizenship Intake Specialist provides assistance with administrative support in a number of key areas including: scheduling client appointments, calling referrals, assisting walk-in clients, making reminder calls, data entry, assessment of eligibility, client intake interviews; preparing and maintaining case files; collecting, complying and organizing supporting documents for client cases; referrals for translation of documents and interpretation services, referrals for appropriate supporting services in other programs and various other administrative functions, including, scheduling follow up appointments to finalize completion of documents. The Citizenship intake Specialist will be responsible the completion semi-annual reports for the STOR database for all Refugee Support Services Programs by providing required data, collecting, and checking data for several programs under grant umbrella. Serve as liaison between agency staff and funder database managers to ensure proper access and guarantee data integrity.

High School Diploma or GED
Three (3) years of experience in lieu of education

What you Deliver
You schedule and performs intake functions for Citizenship grant referrals from the agency’s Refugee Resettlement Program and other Houston Refugee Consortium member organizations. Intake duties include: gathering client demographic info, priority status, plan of service, explaining Catholic Charities Client Rights and Consent for Services, LEP Policy, grievance procedure, HIPPA and confidentiality policy, Bilingual Retainer Agreement for cases beyond legal intake, other eligibly documents. Creates and maintains client Citizenship file with signed forms with interpreter’s signature if one is needed. Collects, compiles, and organizes supporting documents for client cases, schedules translation of documents and interpretation for clients needing services, conducts referrals for appropriate supporting services in other programs, if needed.
Handles data entry, including the entering of intake forms, and other program specific program forms and documentation. The Citizenship Intake Specialist will use RMS to enter updates on the database, maintain the accuracy of the electronic client file, and change the status of the case as it progresses through different stages of the application process. Uses Outlook to set reminders, calendar appointments and deadlines. Also enters, maintains, and updates necessary data, as required by the funder, into the Client Track database.
Processes mail, faxes, and photocopies for the program; schedules follow up appointments and maintains contact with client until service is completed.
Assist in the completion of quarterly reports for South Texas Office of Refugees (STOR database) by providing collecting and checking data for several programs under grant umbrella. Assist in extracting specific reports, creating trimester reports as required by the funders and assist in creating specific reports for program and agency use.
Performs other duties as assigned such as assisting with in-house meeting and trainings, engage in coalition activities, participate in staff and agency retreats
