PROGRAM & POSITION SUMMARY
 

Catholic Charities is the social services arm of the Catholic Church in the Archdiocese of San Francisco. Founded in 1907 to care for the orphans of the San Francisco earthquake, Catholic Charities is an independent non-profit organization. All financial contributions directly support Catholic Charities’ programs in Marin, San Francisco, San Mateo and Sonoma Counties. Catholic Charities serves and advocates for the poor, the sick, the distressed, children, youth, families, immigrants and seniors, regardless of race, religion, color, sex, age, physical or mental disability, national origin, sexual orientation, or any other basis covered by local law.

Under supervision of the Director of People & Culture, the People & Culture Assistant is responsible for a variety of entry to mid-level human resources administrative tasks. These tasks include, but are not limited to: processing, tracking, & filing of employee paperwork, and orientation coordination, as well as ongoing and ad hoc reporting. Additionally, the position provides administrative support to People & Culture staff and maintains People & Culture records in compliance with all applicable statutes. This position requires exceptional computer & organizational skills, meticulous attention to detail, and the ability to interact with a variety of different people across all levels of the organization.
 

ESSENTIAL DUTIES & RESPONSIBILITIES
 

 

  • Validate and ensure consistency and accuracy of information in the agency HRIS system (UltiPro.)
  • Verify employee data is maintained in accordance with established procedures, as well as in compliance with all federal, state, and local laws and ordinances.
  • Assists with creating reports using the HRIS, and other software, as required.
  • Assure proper position coding in HRIS.
  • Complete annual EEO-1 report.
  • Act as point of contact for routine HR inquiries, routing calls to the appropriate internal HR resource.
  • Post Agency HR forms on company shared drive and update internal HR documents.
  • Ensure maintenance of Human Resources records according to legal and departmental standards and maintain file room security.
  • Track new hires for orientation and ensure new employees attend orientation within their first 60 days.
  • Research and respond to external and internal requests for HR information.
  • Coordinate training logistics including tracking and scheduling participants, and preparing packets.
  • Provide back-up assistance with recruitment.
  • Assist with employee engagement activities.
  • Provide administrative support to the Human Resources Director.

QUALIFICATIONS

Education & Experience:
 

  • BA in Human Resources, Information Systems, Organizational Development or a related field, or equivalent combination of education and experience strongly preferred.
  • Minimum of two years’ experience working in an administrative capacity, preferably in a Human Resources Department


Knowledge, Skills & Abilities:
 

  • Demonstrated knowledge of general human resources principals, processes, and best practices.
  • Excellent oral and written communication skills. Knowledge of grammar, spelling, punctuation, and mathematical functions.
  • Acute attention to detail.
  • Self-directed, with proven ability to work independently with minimum supervision.
  • Proven expertise in Microsoft Office applications including, Word, Excel, and Outlook are required.
  • Proficient in Human Resources Information Systems (HRIS).
  • Ability to work in a fast-paced environment with constant interruptions.
  • Ability to work independently and to handle complex and confidential information.
  • Excellent organizational skills; able to multi-task, prioritize, meet deadlines and work collaboratively.
  • Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in cross-cultural situations.
