Part-time Secretary

St. John School, San Francisco is a TK-8 school that has been providing excellence in Catholic education since 1917. Combining deep-rooted traditions and current best practices, the school is dedicated to educating the whole child so that he or she may be successful in the 21st century.
Educators focus on teaching the students to be active Christians, responsible individuals, life-long learners, effective communicators and problem solvers.

The St. John School community is seeking a qualified part-time secretary for the
2021-2022 school year.

Qualifications and job description:
As a school secretary, you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests, or issues and will be an integral part of the school's workforce.

Responsibilities

  • Answer phone calls and redirect them when necessary
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Prepare and disseminate correspondence, memos and forms
  • File and update contact information of employees, students, suppliers and external partners
  • Support and facilitate the completion of regular reports
  • Develop and maintain a filing system
  • Check frequently the levels of office supplies and place appropriate orders
  • Manage student pick up/drop off and other attendance-related issues.
  • Administering basic first aid with student injures including documentation, communicate messages to classrooms
  • Other duties as assigned

Qualifications

  • Bachelor’s degree (preferred).
  • 1-2 years Secretarial/Administrative Assistant experience, preferably in a school setting.
  • Excellent writing, communication and grammar skills.
  • Must be highly proficient in various technology applications and tools ; Google Suite;

Microsoft Excel; database entry and reporting; Apple OS and iOS; and other technology applications database, web publishing.

  • Must be detail-oriented, organized and willing to take initiative.
  • Must have excellent teamwork skills.
  • Requires the ability to work well with children and adults.
  • Requires the ability to and work in a loud and active environment.
  • Must be team-oriented with excellent interpersonal and communication skills.
  • Be a role model in embracing and living out the Schools’ mission, goals and criteria.
  • Training in first aid/CPR .
  • Experience with Catholic/independent schools preferred.
  • Strong organizational skills as well as the ability to handle multiple projects professionally.
  • Demonstrated ability to exercise independent judgment, prioritize tasks and work independently.

Physical Requirements

  • Regularly lifting or carrying 1-25 lbs.
  • Regular pushing/pulling/bending/stooping/kneeling
  • Regularly climbing stairs
  • Regularly sitting or standing 4-8 hours
  • Requires physical presence, work to be performed on campus
